Job summary

Claypath and University Medical Practice is a practice with a large cohort of patients and contribute our excellent team working as the main part of the practice success. Our medical reception team provide a full range of reception and clerical duties to patients, relatives, carers, as well as to practice clinical and administrative staff. All duties to be carried out in a pleasant, effective, and efficient manner with excellent patient care being our top priority.

Main duties of the job

The role of our medical receptionists is to provide vital high standard administrative and customer service support to our patients. Whilst also providing administrative support to all members of the practice team and wider NHS services to ensure the highest level of care is provided to our patients.

About us

We are a busy but friendly, well organised, successful, and forward-thinking GMS training practice. Located in the heart of the beautiful, historic, cathedral city of Durham, we have a list size of over 34,500 patients, over half of whom are students and staff from the prestigious University of Durham.

We are looking to recruit a Medical Receptionist to join our team.

Our practice team includes:

10 GP Partners, 4 Salaried GPs

4 Nurse Practitioners, 5 Practice Nurses, 1 Nurse Associate and 2 HCAs

A PCN Clinical Pharmacy Team, 1st Contact Physiotherapy Team, 1st Contact CPNs, Social Prescriber Link Workers, Care Coordinator, General Practice Assistants etc.

Job description

Job responsibilities

The Receptionist will be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, the effective use of the appointment system, booking appointments, the processing of information (electronic and hard copy) in a timely manner and in accordance with current policies, assisting patients as required and supporting the administration team with patient registration,

The post-holder will act as the central point of contact for patients, be responsible for the distribution of information, messages and enquiries for the clinical team, liaise with multi-disciplinary team members and external agencies such as secondary care and community service providers.

The Receptionist will support staff with the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

The post-holder will be an integral part of the general practice team.

Daily responsibilities:

Dealing with incoming and outgoing triage requests

Filing

Booking appointments

Answering telephones

Patient Registrations

Receiving people at reception desk and dealing with queries

Organising/processing repeat scripts for signature

Checking doctors rooms for filing, scripts etc.

Taking home visits/late calls

Data input

Take payment for medicals etc. and log correctly

Changing name plates on doors

Dealing with correspondence to/from the Primary Care Trust

Changing telephone messages

Photocopying

Tidy waiting areas

Liaise with hospitals and other outside organisation

Report sickness following practice guidelines

Summarisation of medical records

Follow procedures for complaints and incidents

Dealing with electronic path link

Completely requests from task screen

Dealing with prescription requests and the pharmacy collection service, both paper and electronic requests

Scanning and read coding mail and correspondence

Putting correspondence in medical records into chronological order

Have a general awareness of surroundings
