Job summary

The Workflow & Coding Administrator plays a key role in the smooth operation of the GP surgery by managing incoming clinical correspondence, accurately coding patient records, and ensuring efficient document workflow. This role supports clinicians by maintaining high quality, up to date patient data in line with NHS standards and practice protocols.

Main duties of the job

  • Process incoming clinical correspondence (e.g. hospital letters, test results, discharge summaries)
  • Review, prioritise, and allocate documents to appropriate clinicians using the clinical system (e.g. SystmOne)
  • Ensure all documents are actioned within agreed timescales
  • Monitor workflow systems and escalate urgent items when necessary
  • Accurately code diagnoses, procedures, and clinical information using appropriate coding systems (e.g. SNOMED CT, Read Codes)
  • Maintain consistency and accuracy of patient records
  • Update patient summaries with relevant clinical information
  • Support QOF (Quality and Outcomes Framework) data accuracy
  • Assist with general administrative tasks as required
  • Liaise with clinicians, admin staff, and external healthcare providers
  • Support recall systems and patient communications where necessary
