We are part of Suffolk Primary Care, which is a group of GP practices delivering patient care across Suffolk. We are seeking to recruit an enthusiastic and flexible person with excellent interpersonal skills, to join our fantastic team at Brandon

The vacancy is for 20.5 hours a week; between the hours of 8.00am and 6.30 pm.

Flexibility is crucial to accommodate training, holidays and occasional sickness.

Brandon Medical Practice Surgery supports in excess of 5500 patients from a diverse range of backgrounds. We have an established team with a strong focus on customer service and on developing and nurturing staff in order to deliver excellent standards of patient care. We would love to hear from candidates with healthcare experience. We are also keen to hear from those that can show flexibility and a range of transferable skills.

We use SystmOne and askmyGP to facilitate effective and efficient ways of working.

You should be able to work calmly and professionally as part of a team, with the ability to multi-task. A strong command of written and spoken English with an excellent telephone manner is a must. Good time management skills and the ability to follow protocols and or instruction and attention to detail is essential.

Main duties of the job

To provide comprehensive administrative support for the general practice and to act as focal point for patients and staff.

To receive and assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors either in person or via the telephone.

Facilitate effective communication between patients and members of the healthcare community.

Handle patient complaints in accordance with practice protocols.

To provide an efficient and accurate support to the secretarial team, clinicians & patients.

Reception Duties:

To instruct patients on the correct use of the Automatic Check in Machine

To make, alter and update appointments for patients on the computer systems according to set protocols

To assist with patients enquiries on the telephone in a professional manner

To provide advice and information to all users and visitors of Brandon Medical Practice and associated health teams

To provide holiday and sickness cover for reception team.

Keep reception area and desk efficient and tidy

To pass on relevant information to team members to ensure continuity of care and staff efficiency

Maintain security and confidentiality of persons, equipment and information

Clerical Duties

Inputting patient information on AskmyGP and actioning enquiries received from patients

Opening & distributing the daily delivery of post and posting it as required

Accurate and timely use of the franking machine

Registering patients and accurately entering data onto the computer

Ensuring that the patient data base is accurately maintained by entering changes in address, name and other information on System One and associated data systems according to protocols

Accurately entering and updating clinical data on the computer records according to protocols

Accurately entering Temporary Resident details onto the computer

Log on daily to Intranet and keep up to date with all information

Keep up to date with all protocols and amendments

Dealing with the incoming and outgoing delivery of post

Accurately updating computer and paper data according to protocols

Undertake additional administrative duties as required

Maintain accuracy of all information given and data entered

Maintain accurate knowledge of, and keep updated all written reception protocols
