Job summary
An exciting opportunity has arisen for an accomplished and highly motivated Practice Manager with a background in leadership and management and with a demonstrable ability to manage all aspects and overall performance of Pentelow Practice.
The successful candidate will be expected to work 3 days a week (21 hours).
Salary: £45,000 - £50,000 pro rata dependent on experience.
Main duties of the job
The role will require a good grasp of small business management as you will lead all aspects of general management, including human resources, financial management and planning, health and safety, patient service delivery, risk management and CQC compliance. You will be responsible for the safe and efficient management of the practice as well as ensuring the wellbeing of the patients and staff.
As a member of the management team the post holder is expected to attend weekly meetings with the senior GP partner, lead receptionist and care coordinator to develop, discuss and report on all aspects of service delivery.

Pentelow Practice is located in Feltham, TW14 9EF and is a member of the Feltham and Bedfont Primary Care Network (FAB PCN). The practice has a list size of 4000 patients. Staff comprise of 4 GPs, 1 Practice nurse, 1 Health Care Assistant and 4 Receptionists. The practice uses SystmOne.
FAB PCN provides additional clinical and administrative staff to support the practice (Clinical Pharmacist, Pharmacy Technician, First Contact Physiotherapist, Mental Health Nurse, Paramedic, Social Prescribing Link Worker and Care Coordinator)

Job responsibilities
- Overseeing the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities
- Managing the procurement of practice equipment, supplies and services
- Managing contracts for bought in services i.e. cleaning, gardening, etc
- The management of the premises, including health and safety aspects such as risk assessments and mandatory training
- Ensuring the practice has appropriate insurance cover
- Developing, implementing and embedding an appropriate business continuity plan
- Direct line management of the following staff; Employed clinical staff, Reception Staff, Secretarial Staff, Cleaners
- Managing the recruitment and retention of staff;
- Ensuring all staff have the appropriate level of training to enable them to carry out their individual roles & responsibilities effectively. Developing, implementing and embedding an effective staff appraisal process
- Implementing effective systems for the resolution of disciplinary and grievance issues
- Managing the financial elements of the practice, including budgets, cash and bank balances, etc. and seeking to maximise income and reduce expenditure
- Managing and processing partners drawings, PAYE and pensions for practice staff
- Maintaining an effective liaison with the accountant, overseeing practice accounts, ensuring year-end figures are presented
- Briefing partners on all financial matters, including forecasting
- Coordinating the reviewing and updating of all practice policies and procedures
- Leading change and continuous improvement initiatives; coordinating all projects within the practice
- Coordinating and leading the strategic direction of the business through quarterly strategy meetings with partners
- Developing, implementing and embedding an effective communication strategy (internal and external)
- Ensuring the practice maintains compliance with its NHS contractual obligations and CQC registration
- Ensuring the team reach QOF targets (supported by the nursing and administrative leads)
- Actively encouraging and promoting the use of patient online services
- Liaising at external meetings as required
- Marketing the practice appropriately
- Supporting the management of the Patient Participation Group
- Supporting the management of all complaints
- Ensuring that the practice conforms to public and NHS policy in existence at any time.
