Job summary
We are looking to recruit an enthusiastic and committed receptionist to join our friendly team. The position is part time. Monday-Friday 16-20 hours a week (TBA at interview) between 8:00am and 6:30pm.
Shifts vary each week and therefore the post holder will need to be flexible with their working hours. There are times when overtime is required and you will be expected to undertake your fair share of overtime over your contracted hours to cover staff absence.
We are ideally looking for someone with excellent interpersonal skills and experience with dealing with the general public. Delivering high quality services is essential.
Duties will include general assistance to the practice team, answering the telephone, care navigation, sign posting patients to the most appropriate service or healthcare professional in a courteous, efficient, and effective way. Dealing with patient enquiries both over the telephone and on the reception desk. Computer literacy is essential and full training will be given as appropriate.
Main duties of the job
- General assistance to the practice team and project a positive, professional and friendly image to patients and other visitors, either in person or via the telephone
- Care Navigation
- Maintaining and monitoring the practice appointment system
- Process telephone and e-requests for appointments
- Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
- Initiating contact with and responding to, requests from patients, team members and external agencies
- Advising patients of relevant charges for private (non GMS Services), accepting payment, and issuing receipt
- Photocopying
- Action emails as directed
- Processing and distributing incoming and outgoing mail and hospital letters (paper and electronic)
- Data entry of new and temporary registrations and relevant patient information as required
- Input data into the patients healthcare records as necessary
- Filing and retrieving paperwork
- Computer data entry/data allocation
- Scanning of patient related documentation and attaching scanned documents to patients healthcare records
- Process patient prescriptions as directed.
- Support the practice administrator with requests for information i.e. SARs, insurance/solicitors letters, DVLA forms, booking of private medicals etc.
- Summarise/read coding of patients medical records
- Manage all queries, taking messages as necessary and passing information on in an efficient and timely manner
