Job summary
We are looking for a highly motivated and organised individual to join our General Practice team as an Assistant Practice Manager. This is an excellent opportunity for someone with strong leadership, administrative, and communication skills to support the smooth and efficient running of our busy GP practice. Working closely with the Practice Manager and wider clinical and administrative teams, you will play a key role in the day-to-day operations and in the delivery of high-quality patient services.
The successful candidate will assist in overseeing key aspects of practice management, including staff supervision, patient services, rota coordination, complaints handling, and ensuring compliance with NHS policies and CQC standards. You will be involved in supporting HR processes such as recruitment, induction, and training, as well as assisting with performance reviews and staff wellbeing initiatives. The role also includes involvement in managing premises, IT systems, information governance, and supporting the preparation of reports, audits, and business planning activities.
You will need excellent interpersonal skills and the ability to work effectively under pressure in a fast-paced environment. Experience in a healthcare or primary care setting is desirable, along with a working knowledge of clinical systems and NHS processes. A proactive approach to problem-solving, a strong sense of accountability, and a commitment to continuous improvement are essential.
Main duties of the job
The Assistant Practice Manager will support the Practice Manager in the day-to-day running of the GP practice, ensuring efficient administrative operations and high-quality patient services. Key duties include supervising non-clinical staff, managing rotas, assisting with HR processes such as recruitment and training, handling patient queries and complaints, supporting compliance with CQC and NHS policies, and helping manage IT systems, premises, and information governance. The role also involves contributing to audits, reporting, and practice development initiatives.

This is a key leadership role within the non-clinical team, with responsibilities that include supervising reception and administrative staff, managing staff rotas, supporting HR-related functions such as recruitment, inductions, training, and appraisals, and maintaining high standards in daily practice operations.
The successful candidate must have experience using EMIS clinical systems and be confident in its daily use for overseeing workflow, reporting, and operational efficiency.
Additional responsibilities include handling patient complaints in line with NHS guidance, managing and learning from Significant Event Audits (SEA), overseeing external service contracts, supporting premises and maintenance coordination, and ensuring compliance with health and safety and infection control standards.
You will also be expected to coordinate and minute regular internal meetings such as reception and admin team meetings, as well as support the facilitation of our Patient Participation Group (PPG) meetings.
The role involves working closely with the clinical team and external stakeholders, supporting the development of protocols and policies, contributing to audits, assisting with business continuity planning, and ensuring compliance with CQC and NHS regulatory frameworks. The Assistant Practice Manager will deputise for the Practice Manager when required.
