Key Tasks and Responsibilities
EMIS
appointment book/staff rota oversight and management
MGT of building maintenance
MGT of all external third party contracts
Supporting
the ongoing management of the PPG and any relevant work such as patient surveys
etc
Oversight
and management of all workflow areas, supporting admin as required
Addressing
more complex IT issues, system upgrades and implementation, providing training
to staff as required
Supporting
the Practice Manager with elements of HR including recruitment, set up of new
staff and removal of leavers, training needs and day to day management (when
suitably trained and knowledgeable to do so)
Ensuring
all items logged to GP Team Net are kept up to date and addressed within
required timescales (eg alerts, significant events, policies, premises)
Addressing & MGT of complaints and responding appropriately following investigation,
liaising with others as required
Deputising
for the Practice Manager on an as required basis both within the practice and
externally incl local meetings and forums
Supporting
the Ops lead with reactive IT issues incl laptops and smartcard management.
This list is not
exhaustive and there may be other requirements of this role as required by the
Practice Business Manager and/or Partners.
Other responsibilities within the organisation:
Awareness of and compliance with all relevant
practice policies/guidelines
Supporting other staff as needed and in order to
meet all required targets.
Attending and contributing to MDT and practice
meetings.
Supporting the provision of enhanced services
that meet the needs of the practice and local population and maximise income
streams to the practice.
Undertake additional training in order to
provide such services as required.
Meeting timescales and deadlines for audits and
written returns to ensure that the practice meets quality standards and
receives the designated funding.
Supporting the review and response to any
complaints or significant events as needed.
Personal Professional Development:
In addition to maintaining continued education through
attendance at any courses and/or study days necessary to ensure that personal development
requirements for your annual appraisal are met, the post-holder will
participate in any training programme implemented by the practice as part of
this employment, with such training to include:
Participation in an annual individual
performance review
Taking responsibility for own development,
learning and performance and demonstrating skills and activities to others who
are undertaking similar work
Ensuring that all statutory and mandatory
training is kept up to date as directed by the practice
Attending training and events organised by the
practice or other agencies, where appropriate.
Leadership &
Management (where applicable):
Act as a leader in the delivery of services to
ensure that the needs of patients and staff are met
Support staff development to maximise potential
Promote the workplace as a learning environment,
encourage others to learn from each other and from external good practice
Critically evaluate and review innovations and
developments that are relevant to the area of work
Work with management to ensure sufficient
staffing levels and a safe working environment and that staff have the correct
skills, abilities and resources to meet current and future demand
Take part in recruitment processes (where
appropriate)
Develop and update relevant practice protocols,
policies and procedures
Plan, chair and minute team and training
meetings when required

The post-holder will strive to maintain quality within the

The post-holder should recognise the importance of effective

Read and digest information shared via EMIS and
nhs.net mail regularly
Confidentiality / Data Protection / Freedom of
Information:
The successful post holder must maintain the confidentiality
of information about patients, staff and other health service business in
accordance with the Data Protection Act of 1998. Post holders must not, without
prior permission, disclose any information regarding patients or staff. If any
member of staff has communicated any such information to an unauthorised person
those staff will be liable to dismissal. Moreover, the Data Protection Act 1998
also renders an individual liable for prosecution in the event of unauthorised
disclosure of information. Following the Freedom of Information Act (FOI) 2005,
post holder must apply the Practices FOI procedure if they receive a written
request for information.
