We are looking to expand our team at Fencepiece Road Medical
Centre and have great opportunities for the right person. We are looking for a warm, welcoming, hard
working, friendly and possess the empathic NHS care ethic required to provide
the health care that our patients require.
We are currently in need of 2 enthusiastic part time
reception/admin staff to join our friendly, busy, diverse
and innovative practice. Candidate must have at least 6 months
experience in using EMIS system
Main duties of the job
RECEPTIONIST/ADMIN
and your duties and responsibilities:
The role will include answering phones, navigating patients
to the correct service/appointments, manning front desk, scanning,
prescriptions and other administrative tasks requested by the GPs. (see job

TITLE: GP RECEPTIONIST
REPORTING TO: Practice Manager
HOURS OF WORK: TBC Between the hours of 8. 30 6pm Mon to Friday
8am to 2pm (Mon to Fri) or
1.30pm to 6.30pm (Mon to Fri)
SALARY: Depending on experience
RECEPTIONIST/ADMIN and your duties and responsibilities are as follows:
- Receiving and greeting patients.
- Answering the telephone and dealing with or redirecting enquires.
- Taking home visit requests
- Booking appointments using the computer appointment system (EMIS)
- Make new and follow up appointment
- General reception duties
- Filing medical records, letters and test results
Scanning of documents on to the clinical system as per surgery protocol and send tasks/coding to appropriate teams on EMIS
- Open mail and distribute as appropriate. Leave private and confidential mail unopened for the doctor or practice manager.
- Filing post
- Using clinical system to extract test results.
- Check and file records received for new patients.
- Prepare computerised acute/repeat prescriptions following practice
- Extract record of patients deleted from list and send to authority follow practice protocol.
Assisting with the gathering of information re QOF, Audits, Enhanced services data when required.
- Use of Accrx to send patients messages, reminders and general information, while maintaining confidentiality.
- Ensuring all treatment and doctors rooms are securely locked at the end of each surgery.
- Ensuring that the doctors room is ready for use at the beginning of each surgery.
- Tidying of the waiting room after clinic
- Adhering to Clean Desk policy
- Maintain record keeping
- Make appointment for hospital transport
- Repair and maintain medical records.
- Maintain supply of stationary available in reception area/treatment rooms.
- Type hospital referral letter in the absence of practice secretary.
Read coding of clinical documents as per agreed protocols
To maintain confidentiality at all times
- To be available to provide additional relief cover for colleagues and have a degree of flexibility, during periods of sickness and annual leave
- To comply with existing procedures and protocols
- To comply with Health and Safety at work legislation
- To act as a keyholder with responsibility for opening & locking premises as required
- To undertake relevant training as required for the post.
Reporting incidents/accidents/significant events using the organisations Incident Reporting System/Significant event policy
- Actively report health & safety hazards and infection hazards immediately
- Keeping work and general areas clean and tidy, and using appropriate infection control procedures to keep work areas hygienic and safe from contamination.
- Undertaking periodic infection control training (minimum annually)
- Awareness and compliance with national standards of infection control, hygiene, regulatory / contractual / professional requirements, and good practice guidelines.
- Correct personal use of Personal Protective Equipment (PPE) and ensuring correct use of PPE by others, advising on appropriate circumstances for use by clinicians, staff and patients.
- Maintaining their own and others health & safety and infection control as defined in the practice policies
