Job summary

To ensure the smooth running of the reception desk in a professional and organized manner.

To be the focal point of the surgery and to act as a liaison between patients, clinicians and other members of the practice team and to provide a high standard of customer services at all times.

To efficiently and accurately enter data onto the Practices electronic patient record system in line with the Practice procedure.

Main duties of the job

  • To welcome and deal with any enquiries from all visitors to the Practice in a polite, friendly and efficient manner. Absolute confidentiality about matters relating to patients, staff and the practice must be adhered to.
  • To ensure requirements for appointments, repeat prescriptions, medical certificates, clinical test forms, etc. are actioned in accordance with Practice policy and procedure.
  • To respond to all queries and requests for assistance from patients and visitors in a polite and friendly manner and, where appropriate, refer to a more senior colleague.
  • To answer the telephone and make calls as required in a polite manner, taking messages and making appointments as necessary and as directed.
  • Register new patients following practice policy (forms are filled in fully and correctly)
  • File medical records.
  • To ensure that the waiting rooms and consulting rooms are re-stocked with prescriptions and made tidy every morning and every evening.
  • To attend all staff training sessions, as required, and to develop new skills to cover absences of colleagues throughout the year.
  • Staff working in the evening, to make sure that the premises are fully vacated by patients via checking public areas. Ensuring that the premises are securely locked including windows and to turn on the security system if last person to leave the premises.
