Job summary
We are recruiting two new receptionists to become part of our Reception team at our Warlingham Green Surgery. We are a friendly practice with a family feel and this is very much a team environment. We are also a training practice and host trainee and student clinicians at various stages of their journey.
Our Reception team is the hub of our practice and is a hive of activity with a wide variety of work. The Reception team support each other and the practice as a whole and is a big part of ensuring that we provide the best patient experience possible.
Main duties of the job
The receptionist role is varied and the duties include just some of the following:-
- Booking appointments for patients, and answering queries usually done over the phone so a good telephone manner is very important.
- Dealing with patients directly face to face when they arrive in the surgery.
- Dealing with enquiries made by patients via our surgery website and responding accordingly.
- Dealing with daily tasks sent by the Doctors.
- Dealing with email enquiries from patients that come in daily via our surgery website (Footfall).
Attention to detail is very important as you will be dealing with sensitive information, therefore a good understanding of data protection is vital. The reception team use a number of computer programs so we will expect you to be comfortable using a computer. Experience is not essential as full training will be given, but is preferred ideally.
We work collaboratively with Chaldon Road and Whyteleafe Surgeries and have a shared patient list. The hours have not yet been finalised but are likely to be in the region of 16 to 25 hours per week. It it is possible that this could include one 8pm finish each week.

Main purpose - to provide a first point of contact for patients and act as a focal point of communication between patients, doctors and other medical staff.
Accountable to - Reception Manager and Surgery Manager
Principle
responsibilities:
- Open the surgery and greet
patients arriving and deal with any queries and questions they may have in a
courteous and efficient manner.
- Ensure that consulting rooms
are prepared in readiness for each consulting session, and ensure rooms at the
end of the day are left tidy and secure.
- To assist the doctors with
administrative duties in connection with the smooth running of the reception
and the doctors clinics.
- To investigate and
appropriately deal with any non-medical problems from patients and report to
doctors where necessary.
- Answer general enquiries, answer
all incoming telephone calls swiftly, and explain surgery procedures i.e.
making appointments and prescription requests.
- To ensure that any requests
or messages from patients are accurately recorded in the correct place within
the EMIS clinical system and that practice protocols are adhered to.
- Accurately control the
keeping of records, filing and retrieval of information and all routine
requirements connected with the reception area.
- To accurately scan incoming
post and relevant test results into the EMIS clinical system.
- To observe the Practice
Health and Safety Policy and to consider safety at all times.
- To deal with enquiries
regarding registrations and ensure adequate stock of all relevant forms are
easily available.
- Administration of electronic
task requests in a timely manner.
- Administration of DOCMAN
letters ensuring accuracy and following surgery procedures.
- Accurately record requests
for home visits by understanding the need for a visit and ensure the request is
recorded in the electronic day book.
- Maintain files for
administrative purposes required by NHS regulations.
- Advise patients of any
relevant charges for private services, accept payment and issue receipt for
same.
- To act as a chaperone for
clinical staff as and when required (Training will be given).
- Ensure the reception area is
tidy and stocks of stationery, specimen bottles/bags are readily available.
- To undertake any training and
development.
