Job summary

Aylesford Medical Centre is an established and friendly practice located within the Royal British Legion Village in Aylesford, Kent. We are looking to recruit an adminsitrator on a zero hours contract to cover for staff leave and sickness.

Main duties of the job

You will be required to cover reception, secretarial and other administrative duties within the Surgery on an ad-hoc basis over a variety of days and hours. Full traning will be given.

Job description

Job responsibilities

Maintain and monitor the Practice appointment system.

Process personal, telephone and e-requests for appointments.

Answer incoming phone calls, transferring calls or dealing with the callers' requests appropriately.

Signposting patients to the correct service.

Initiating contact with and responding to, requests from patients, team members and external agencies.

Code data on the clinical IT system.

Photocopy documentation as required.

Data entry of new and temporary registrations and relevant patient information as required.

Input data on to patients healthcare records as necessary.

Direct requests for information i.e.SAR, insurance/solicitors letters and DVLA forms to the administrative team.

Manage all queries as necessary in an efficient manner.

Maintain a clean, tidy and effective work area at all times.

Monitor and maintain reception notice boards.

Support all clinical staff with general task requests.

Action incoming emails and correspondence as necessary.

Scan patient related documentation and attach scanned documents to patients healthcare records.

To support the management of repeat prescriptions, ensuring they are processed accurately and efficiently.

To read, scan, code (training provided) and action all documentation coming in to the Surgery in relation to patients and filing them on to patient records as per protocols.

Typing letters, reports and associated documentation as required.

Liaising with external agencies such as Hospitals and community services, ensuring referrals are processed efficiently.

Maintain an accurate referrals database.

Processing referrals using the electronic Referral System (ERS).
