Job summary

Avenham Surgery have a part time position for a Receptionist to work within our friendly practice.

Situated in the heart of Preston we are a well-established practice with a population of approximately 7,400 patients and a growth rate of 3% per annum. We are continually expanding our practice to ensure we provide excellent healthcare and meet the needs of each individual patient. We are a warm and welcoming team with a focus on team well-being so encourage a sustainable work/life balance.

Applicants must be available to work set shifts Wednesday, Thursday and Friday between 13:00-18:00.

Main duties of the job

You will be responsible for the general reception duties within the Practice and work with our established processes, policies, and procedures to provide a comprehensive high-quality service and deal efficiently and courteously with patient enquiries.

You will receive, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way.

You will provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

You will have excellent communication skills, a compassionate and friendly nature who can operate in a busy environment with a range of people and professions, as you will be working with our clinical and administration teams.

This role is ideal for someone who is highly organised and an effective communicator who can provide a professional and warm welcome to our patients, ensuring every contact is of the highest quality.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  1. Reception duties

Greet patients and Respond to all queries and requests for assistance from patients and other visitors

Monitor flow of patients ensuring the appointment system accurately reflects the arrival of patients

Ensure patients without appointments, but who need an urgent consultation, are seen in a logical and non-disruptive manner

Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, ensuring procedures are completed correctly

Advise patients of relevant charges for private services, accept payment and issue receipts keeping records of such payments up to date

Enter requests for home visits in the diary stating reason and including relevant information and where necessary refer to the duty doctor

Action requests for ambulance transportation and enter details on the computer

Ensure reception and waiting areas are kept neat and tidy

  1. Repeat prescribing system

Receive patients requests for prescriptions whether in writing; in person; over the telephone

Action requests for repeat prescriptions while maintaining the Practices policy of generic prescribing and where appropriate 28 day prescribing.

Ensure out of date repeats are brought to the attention of the registered doctor and appropriate subsequent action taken

Report any problems and ensure that follow up action is taken to resolve such matters

  1. Appointment system

Ensure total familiarity with all appointment systems including regular and incidental variations

Book appointments and recalls ensuring sufficient information is recorded to retrieve medical record

Monitor effectiveness of the system and report any problems or variations

  1. Telephone system

Receive and make calls as required answering any queries that arise

Divert calls and take messages as appropriate ensuring accuracy

  1. Start and end of day procedures

Open up premises at the start of the day: set alarm to day function and make all the necessary preparations to receive patients.

Secure premises at end of the day: ensure building is totally secured, internal lights turned off, computer system secure and alarm activated if you are the last to leave.

  1. Any other delegated duties considered appropriate to the post by the Practice Manger
