Job summary

  • An exciting opportunity to join Dr T Fox and PartnersAs Business Administration support.The role is 25 hours working over 5 days Monday - Friday 07.15am - 12.15pm.
  • This is a new role within the practice and the post holder will support the Administration and Reception team with back office duties under the direction of the Managing Partner and Business Operations Manager. The post holder will have the ability to work independently on different projects and work streams depending on priorities within the team and workflow demands.

Main duties of the job

To support with back office duties of the management and administrative team ensuring all tasks are completed to a high standard working independently and within a team.

About us

Dr T Fox and Partners have upto 13000 patients across the LS14 and LS15 area of Leeds. The Business administrator support will become part of a team compromising currently of 15 receptionist and administration team working with the wider team compromising of GP's, Nurses and Pharmacists.

Job description

Job responsibilities

  • The post holder will ensure all patients medical records are accurately retrieved and filed in a timely manner
  • They will support the Medical Administrator to prepare medical records being returned to Primary Care Support England (PCSE) informing the Medical & Business administrator about any missing medical records or filing problems
  • They will prepare medical records for returning to Primary Care Support England (PCSE) using the online RESTORE system
  • The post holder will then box all records of new patients to return to restore and unbox all records received from restore and prepare for PCSE collection weekly.
  • They will prepare patients registration forms for the reception team and ensure that all patient forms are up to date including sample forms, holiday forms and digitalise these where appropriate uploading them onto the Patchs system.
  • They will update templates used on the PATCHS system coordinating with the different teams with support from the Medical Business Administrator
  • They will register new patients daily ensuring efficient completion of all information submitted on the form
  • The post holder will support the Medical & Business administrator with the preparation of the paperwork for the Weekly minor surgery service updating relevant audits
  • The post holder will prepare and arrange the office and meeting room for the day
  • To take minutes at the weekly MDT and action relevant tasks
  • They will assist the Practice Managing Partner and Business operations manager with timely filing of HR paperwork ensuring that all HR files have all correct documents needed for employment and will prepare HR paperwork for the induction of new starters ensuring that all staff have been transferred from the Intradoc system onto the practice Bright HR account.
  • Prepare SAR requests for Solicitors and other external agencies following rules and policies surrounding data protection and GDPR.
  • Organise stock the stationary/ sundries compiling a list for the Business Operations Manager to order on a weekly basis.

The post holder will develop exciting digital content for use across our social media channels, website, online services including the use of clinical system digital tools and be proficient in the use of Microsoft office including the application of database and spreadsheets.
