Job summary
To be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, patient registration, booking appointments, processing of information (electronic and hard copy) and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.
Main duties of the job
- Booking in patients when they arrive at the surgery
- Telephone dealing with patients and attending to enquires
- Administrative duties including filing of medical reports, correspondence, results, faxing, scanning and computer entry
- Attend to mail in relation to the practice
- Advising patients of blood and urine tests
- Receiving and checking repeat prescription requests
- Registering new patients and electronically filing them within 3 days (GP-GP)
- Checking consulting rooms before and after each clinic starts. Turning computers on, checking couch roll etc.
- Booking patient transport
- Maintaining and developing effective communication across the team
- Processing referrals in accordance with the referral protocol - e referral system
- Assisting the Practice Manager to achieve targets and deadlines set by the CCG and The Practice
- Copying medical records when required
- Tidying the waiting room at the end of the day
- Keep updated with training to update skill and knowledge
- Attend to duties for absent members of staff
- Plan, organize and prioritise work
- Communicate with all staff members and keep updated with information in relation to the practice and patients. Also liaise with other relevant organisations on behalf of the practice

The Roehampton Surgery has been established for almost 70 years and is a GMS service offering primary care services for the diagnosis and prevention of disease. The area served by The Roehampton Surgery and The Ashburton Medical Practice is in the district covered by South West London Clinical Commissioning Group, which is responsible for ensuring patients receive all the services they need. We work in partnership with our patients and our Patient Participation Group to provide medical care for our patients. We encourage patients to be involved in the decision making process to manage their health and prevent illness. We believe prevention is very important and continue to advise on long term benefits of lifestyle changes as well as carrying out screening, investigations and treating of established condition. As a GP practice we are the patients first stop in the NHS and are their advocates, supporting and representing their best interests in accessing the most appropriate health services and treatment. We provide the link to further health services and work closely with other healthcare colleagues. We may also arrange hospital admissions and referrals to other services and specialists and link with secondary and community services about patient care, taking advice and sharing information where needed.
