We are excited to offer the position of a GP Assistant at Colville Health Centre in Notting Hill, London, offering first class patient-centred primary care service. Our aim is to deliver high quality, comprehensive healthcare using our established team of highly skilled, compassionate staff.

Main duties of the job

  • Greet patients and visitors in a professional and courteous manner
  • Act as the first point of contact for patient enquiries (in person, telephone, and email)
  • Book, amend, and cancel appointments in line with Practice procedures
  • Manage urgent appointment requests and refer to a GP where necessary
  • Explain Practice procedures to new and temporary patients
  • Register new patients onto the clinical system
  • Inform patients of private service charges and process payments
  • Maintain and update the computerised appointment system (SystmOne)
  • Process referrals and monitor outstanding appointments
  • Check and action Practice emails daily
  • Maintain accurate electronic and manual filing systems
  • Undertake general administrative tasks as directed by the Line Manager
  • Support opening and closing procedures of the Practice

Job responsibilities

MAIN DUTIES AND RESPONSIBILITIES

1.

Greet patients and visitors to the practice.

2.

Book in, amend and cancel patient appointment inline with practice appointments procedures ensuing optimum efficiency of the appointment system.

3.

Ensure that patients without appointments but who need 'urgent consultations are booked into appropriate slots and referred to a GP where necessary.

4.

Receive and accurately record requests for home visits, assessing urgency in accordance with the Practices protocols.

5.

Ensure computerised appointment system is up-to-date.

6.

Respond and/or redirect all patient and visitor requests accordingly.

7.

Explain practice arrangements and formal requirements to new patients and temporary residents, ensure procedures are completed.

8.

Set-up of new patients onto the computer system.

9.

Advise patients of relevant charges for private services, accept payment and issue receipts for same.

10.

Produce repeat prescriptions according to practice procedures and ensure timely distribution of completed prescriptions.

11.

Ensure correspondence, reports, results etc. are filed electronically in correct patient record.

12.

Ensure reception and waiting areas are kept neat and tidy

13.

Re-stocking of information leaflets as appropriate

14.

Answering incoming telephone calls, ensuring calls are documented and redirected accordingly.

15.

Undertake administration tasks as allocated by Line Manager.

16.

Action start and end of day procedures i.e. opening or closing the building.

17.

Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes).

18.

Check practice emails on a daily basis and action them.

19.

Check admin tasks column on SystmOne daily and action the messages i.e. process referrals, chase up referrals/appointments.

20.

Work safely at all times in accordance with Legislative requirements and Practice Policy and Procedures.

Amalgamation of new patient records.

22.

Check fridge temperature daily and record the readings on the fridge temperature monitoring sheet.

23.
