Job summary
Receptionist is
responsible for undertaking a wide range of reception duties and providing
support to the multidisciplinary team. Duties may include, but are not limited
to, greeting and directing patients, effective use of the appointment system,
booking appointments, processing of personal information and assisting patients
as required.
Main duties of the job
To act as a central
point of contact for patients, the distribution of information, messages and
enquiries for the clinical team, liaising with the multidisciplinary team
member and external agencies such as secondary care and community service
providers.
About us
Our practice comprises two Doctors, two Advanced Nurse Practitioners, two Practice Nurses and other supporting Clinical staff including Health Care Assistants and Phlebotomists. District Nurses, Health Visitors, Midwives and other healthcare professionals also work from our premises.
We operate from a purpose-built medical centre premises on the outskirts of Newport City Centre.
There is good access for the disabled to all of our consultation rooms. A designated parking bay is adjacent to the surgery entrance and the surgery has a ramp and wide doors to allow for wheelchair access.
We aim to provide high quality, timely and efficient care to each patient this means we take in to account your individual health needs and fully utilise the skills of our mutlidisciplinary team and the provision of supportive arrangements and services put in place by Aneurin Bevan University Health Board, NHS Wales and the Welsh Assembly Government.

Job responsibilities
The core
responsibilities of the receptionist are as follows. On occasion, there may be
a requirement to carry out tasks not listed below, that are within the
reasonable scope of the role.

Maintain
and monitor practice appointment system

Process
personal, telephone and e-requests for appointments

Answer
incoming phone calls, dealing with the callers request appropriately

Signpost
patients to the correct service

Initiating
contact with and responding to, requests from patients, team members and
external agencies
-
Data entry
of new and temporary registrations and relevant patient information as
requested
-
Input data
as necessary onto patients healthcare records
-
Direct
requests for information to relevant team members i.e., SAR, DVLA forms, insurance/solicitors
letters

Manage all
queries as necessary in an efficient manner

Carry out
system searches as requested

Support
all clinical staff with general tasks as required

Photocopy
documentation as required
-
Maintain a
clean, tidy and effective working area

Monitor
and maintain the reception area and notice boards
In addition to the
core responsibilities, the Receptionist may be requested to;

Action
incoming emails and correspondence as necessary
2.
Complete
opening and closing procedures in accordance with the rota
3.
Partake in
audit as directed by the audit lead
4.
Support
admin team, providing cover during absences
5.
Scan
patient related documents and attach scanned documents to patients healthcare
record

We are looking for 18 - 20 hours per week worked Monday to Friday between 08:00 and 18:30 on a rota basis.
