Job summary

Thornaby & Barwick Medical Group is looking for a full time administrative assistant to join their busy team.

Do you enjoy being busy and working in a fast paced office environment? If so this could be the role for you.

Candidates will need to be organised, able to solve problems and work to tight deadlines, whilst maintaining accuracy and attention to detail. Excellent communication skills and a friendly, approachable nature are essential for this role.

Main duties of the job

To provide administrative support for the practice. The role is varied and highly demanding, requiring a person with excellent organisational ability and able to work under pressure while providing a positive and responsive professionalism on behalf of the practice. You will be required to work in an office with others, under supervision of the admin team manager, handling a variety of paperwork and queries.

About us

Thornaby and Barwick Medical Group is a two site GP Practice taking care of the population in the Thornaby and Ingleby Barwick areas. We have a practice population of around 21,500. We are an experienced training practice with 8 GP partners, supported by our wonderful nursing team and resilient reception and admin teams.

We also work as part of BYTES Primary Care Network, which is made up of 4 GP practices working in partnership.

Job description

Job responsibilities

Monitor main surgery email and deal with all incoming emails.

Ensure procedures for registering new or temporary registrations are completed

Explain practice arrangements and formal requirements to new and temporary patients.

Process patient deductions as appropriate

Deal with GP Links including the amendment and deduction of patient records

Process electronic discharge summaries and out of hours notifications

Monitor incoming electronic test results to ensure prompt review by clinicians.

Data entry of new and temporary registrations and relevant patient information e.g. smoking status, BP, ethnicity, medication and past medical history.

Allocate work to appropriate clinical staff in accordance with Practice procedures.

Liaise with external organisations regarding requests for information.

Liaise with patients as necessary

Keep accurate and timely records

Scan patient information in computerised record i.e. medical documents, hospital reports and letters as necessary

Invite patients to attend reviews.

Process E consultations

Filing of paperwork into records whilst checking for any actions

Inviting for flu and covid and attending clinics to support with admin
