Job summary

The purpose of the role is to:

  • To provide general clerical/administrative support and services to the GPs and health professionals and the administrative team in a smooth, efficient, effective & courteous manner.

If you are a patient of the practice and are appointed to this position, you will be required to register with another practice

Main duties of the job

The duties and responsibilities will be to provideadministrative support to the Admin Team Leader and members of the primary health care team in the following areas ensuring appropriate practice records are kept up to date

  • Processing of clinical documents and associated tasks
  • Pocessing requests to join/ leave the practice
  • Assist with maintenance of filing and administrative systems so that written or computer information is easily accessible and secure.
  • Assist with Quality and Outcomes Framework to ensure the practice meets its required targets
  • Summarising and coding medical information in accordance with practice protocols
  • Assist with the non NHS/private reports, letters, access to medical records requests etc. received by the practice
  • Any other duties as decided by the Managing Partner

Job responsibilities

The duties and responsibilities to be undertaken by members of the practice administration team may include any of the following which may be varied from time to time under the direction of the Managing Partner

Scanning duties

  • Sort and date stamp all incoming patient-related mail
  • Scan patient-related documents onto their medical record using SNOMED codes as agreed by the clinical team
  • Add any additional information about the source of the document
  • Forward the document to the doctor or nurse who initiated the referral or who is most appropriate to receive the information
  • Ensure incoming letters are scanned onto the patient record in a timely manner
  • Scan all internal paper documents on to the relevant patients record and then store the documents in line with surgery policy

Coding

  • Identify relevant clinical information contained in patient correspondence
  • Code or free text the clinical information on to the patient record as per practice protocol

Administration

  • To have a thorough knowledge of all practice procedures
  • To work in accordance of written policies
  • Carryout tasks relating to patient records, including filing, document management, and ensuring patients can access reports, prescriptions and that they are easily accessible.
  • Process requests for non NHS private reports including but not limited to raising invoices, generating reports and redacting documents

Computer

  • Registrations of new patients computer data entry and medical records
  • Process patients changes of address computer data and medical records (have knowledge of practice area)

Other Tasks

  • Work through and tick off all opening/closing instructions, using the checklist provided.
  • Clear rooms after surgeries
  • Any other tasks allocated by managers

  • General Secondary Education to GCSE level or equivalent
  • Able to provide complete education/employment history

Desirable

  • GCSE C or above in Maths and English

  • Working in a busy and pressurised environment
  • Working as part of a team

Desirable

  • Dealing with patients/customers face to face
  • Dealing with patients/customers on the telephone
  • Previous experience within General Practice or other NHS environment
  • Previous EMIS Web clinical system experience
