Job summary
An exciting opportunity has become available for a full
time Administrative Assistant / Receptionist at Ripon Spa Surgery, a busy
friendly semi-rural Practice. Teamwork is essential to this role as you will be
working within our already well-established administration team. The ideal
candidate should be a compassionate, calm and well-motivated individual who has
a lovely telephone manner, be able to work under pressure with good
organisational and computer skills.
You will learn various duties across the administration
team to offer extra support where needed to maintain the smooth and efficient
functioning of the practice, which includes a dual role as there is integration
with the reception team. The role involves contact with patients both face to
face and on the telephone so excellent communication skills are essential.
We are seeking enthusiastic and dynamic applicants. The
role is varied and would suit an individual who has previous GP Practice experience,
although not essential. You will need to be organised and able to prioritise
your own workload. Full training will be provided to the successful candidate.
Within this position you will be required to maintain
strict confidentiality and will be expected to always deal with patients and
relatives with courtesy and discretion.
Main duties of the job
Administration: Management of incoming post, scanning of manual and electronic documents, responsible for acting on tasks, contacting patients and relaying information from the GPs, inviting patients in for screening and appointments.
Providing administrative support and cover duties for other members of staff, training will be provided. This may include coding, secretrial work and patients long term condition reviews.
Reception: Booking appointments and dealing with patient queries

Processing
of incoming and outgoing information (electronic and hard copy) into the
clinical system
Deal
with and action day to day electronic tasks and notifications in a timely
manner, which includes informing patients of their results.
Regularly
check emails and take the appropriate action
Input
data into the patients' healthcare records as necessary
Answer
incoming phone calls, transferring calls or dealing with requests appropriately
from patients, carers, other healthcare professionals
Filing
and photocopying
To
perform any other reasonable tasks requested by the Practice Manager and GPs

support staff with the distribution of information, messages and enquiries of
the clinical team, liaising with multidisciplinary team members and external
agencies such as secondary care and community service providers.

have knowledge of all practice procedures and to work in accordance to written
protocols
