Job Title: Medical Secretary
Location: Wilson Street Surgery
Accountable to: Practice Manager
Reports to: Assistant Practice Manager(s)
Hours: 25 Hours per week - 12pm -5pm Monday to Friday
2 JOB PURPOSE
- To provide an effective comprehensive secretarial and administrative service to the Practice to enable it to run effectively.
3 DIMENSIONS
- The post holder does not hold any budgets.
4 KNOWLEDGE, SKILLS AND EXPERIENCE
- Minimum 5 GCSE including Maths & English at Grade 9-4/A-C or equivalent
- Typewriting or word processing RSA 2 (RSA 3 Desirable) or equivalent
- Working knowledge of Microsoft Office products
- 2 years secretarial experience in an office environment
- Medical secretarial experience (desirable)
- Understanding of medical terminology
- Good communication skills
- Good interpersonal and organisational skills
- Previous experience of team working (desirable)
- Previous NHS experience (desirable)
- An understanding of health and safety issues
- An understanding & acceptance of a strict code of confidentiality
- Resourcefulness and ability to use own judgement in response to patients
5 KEY RESULT AREAS
- To provide an effective and comprehensive secretarial service to the practice, including typing of letters and reports, to assist in the delivery of quality care to patients.
- To be responsible for the transcription and forwarding of all referral letters, ensuring they are forwarded to the appropriate hospital departments in agreed timescales.
- To be responsible for the co-ordination of the cancer referral process, as determined by National and local guidance and protocols.
- To respond to queries from both clinical staff and patients, referring to senior staff where appropriate, ensuring all responses are efficient and effective.
- Extensive use of GP clinical systems and linked software, to update and store data in line with practice policy, to ensure records are up to date and available for clinical staff at all times.
- To be responsible for reviewing and developing filing systems for the practice, thereby ensuring they are fit for current needs of the practice.
- Retrieval of information as required from both computer and manual systems.
- To provide ad hoc administrative support to all the practice team, as required, in order to maintain an adequate and continuous service for patients and clinical staff.
9. To work within the practices agreed policies and guidelines where appropriate,
commenting on and contributing to changing such policies.
