Job summary

We are looking to appoint an enthusiastic part-time Receptionist/Administrator to join our busy GP Practice. The successful candidate must be customer focused, reliable and punctual, possess excellent written and verbal communication and be able to use their own initiative. They must be a team player and willing to support colleagues and take on extra duties to assist during busy and high pressurised times.

We require 16 hours per week to cover the following shifts: Wednesday 7:30-13:30, Thursday 10:00-16:00 and Friday 13:30-18:30. You must also be available to work additional/flexible hours to cover staff leave and sickness when required.

Main duties of the job

The post holder will have responsibility for the running of the reception area with the aim of providing an efficient and caring service to patients. They will work closely with the team to provide general administrative support when and if required. The post holder will maintain an appropriate level of liaison with the Practice Manager regarding the operation of and issues affecting the reception area while ensuring the smooth day to day operation of the reception.

The practice uses SystmOne as its clinical system and the post holder will need to become familiar with various aspects of the system relevant to the role of Receptionist/Administrator.

About us

We are a small GP Practice in Northolt with around 5000 patients and growing. The staff are made up of a GP Principal (Owner), 2 salaried GP's, 3 Clinical Pharmacists,2 GP Nurses, a Healthcare Assistant, a Phlebotomist, Reception/Admin Staff and Practice Manager. The surgery has been rated 'Good' by CQC (the Care Quality Commission) indicating the firm foundations of the Practices exceptional organisation and efficiency.

Reports to: Practice Manager

Summary of the post

The post holder will assist with the running of the reception area with the aim of providing an efficient and caring service to patients. They will work closely with the team and provide general administrative support when and if required.

The practice uses SystmOne as its clinical system and the post holder will need to become familiar with various aspects of the system relevant to the role of Receptionist/Administrator.

Key Accountability

To demonstrate excellence in customer service provision.

To undertake receptionist duties as part of rota and relief for others as required.

To cover other administration staff absence to ensure continued and smooth running of the practices day to day operation.

Ensure mandatory training is completed in a timely manner.

Practice administration.

Promptly implement changes to existing administration procedure, new policies and procedures as required.

Carry out all reception functions including but not limited to:

  • greeting patients
  • booking appointments
  • telephone services and general queries
  • records management ensuring they are carried out to the highest standards
  • producing repeat prescriptions
  • patient registration
  • informing GPs of any home visits
  • dealing with post and courier bag
  • booking transport / interpreters

Ensure the office is secure and confidentiality of information is maintained in accordance with the General Data Protection Regulations and Caldicott Guardian.

Ensure all clinical areas are clean and tidy before surgery commences.

Clinical waste is handled in accordance with clinical guidelines and legislation.

Recording of fridge temperatures.

Cleaning rotas for reception areas are adhered to.

Ensure that there is a receptionist handover of information, messages etc. from the morning shift to afternoon receptionist and vice versa.

Ensure cash handling and any patient payment process is documented appropriately.

Attend in-service training as and when appropriate.

Carries out any other duties that may be required by the Practice Manager.
