Neasham Road Surgery in Darlington

Full Time (37.5hrs) / Job Share ( 2 x 18.5hrs) /

Part-Time (1 x 15hrs and 1 x 22.5hrs)

Neasham Road Surgery are looking for a motivated, friendly and proactive administrator / receptionist to work either full or part time. The successful candidate will be part of a friendly supportive reception team. They will be the first point of contact for our patients and will be required to meet the standards of care and service we pride ourselves on.

We are looking for someone who will be flexible and reliable and is self-motivated to complement our experienced and dedicated team.

Main duties of the job

Main duties of role :-

Duties will include dealing with patients by telephone and face to face, projecting a positive and friendly image to patients and other visitors to the practice.Booking appointments, arranging tests for patients, prescription enquires and general patient enquiries.

Previous experience of working in a General Practice would be a distinct advantage, however full training will be given.Experience of Systmone clinical system would be beneficial, however training would be given.Experience of using Word, Excel, Powerpoint and Outlook will be required.

The job will require provision of high quality reception and administration service to patients, doctors, colleagues and other staff members who may attend the surgery.It includes multi-tasking with the ability to be compassionate.Good communication skills are essential to this role.

To have good IT skills

9.0 Main duties and Responsibilities:

Administration

To have a thorough knowledge of all practice procedures.

To work in accordance of written protocols

Pulling/filing notes for surgeries and update as necessary

Filing post in medical records if applicable

Fax and photocopy as requested

Ensuring messages and information is passed on to relevant members of staff or

outside agencies

Distributing clinical documents to clinical staff

Actioning tasks assigned by Clinicians and passing on relevant information.

Reception

Receiving patients consulting with members of practice team

Handing completed repeat prescriptions to patient and checking name and

address.

Be able to cover all reception position as necessary

Explaining surgery procedures as required

Appointments

Process appointment requests for today / future appointments from patients by

telephone and in person.

Deal with visits requests

Scanning of documents on to patient electronic records, if required

Telephone

Have working knowledge of telephone system, during and after hours.

Provide an efficient system of answering the telephone using a courteous and

friendly manner

Other Tasks

Ensure reception area is kept tidy and ready for use

Ensure building security have thorough knowledge of doors/windows/alarm.

Provide refreshments if requested

Any other tasks allocated by the Practice Management

Computer

General data input and information retrieving

Registrations of new patients computer data entry and medical records.

Process change of patient details e.g. change of address both electronically and

paper records

Support work of Prescription Line by processing repeat prescription request in accordance with practice guidelines as and when necessary.

Scanning clinical documents into patient records if required

Opportunistic data checking of patient demographic details
