Job summary
We are currently seeking an enthusiastic and self-motivated
Medical Secretary to join our expanding practice team. The ideal candidate will
have experience using EMIS and iGPR, possess a solid understanding of medical
terminology, and have prior experience working as a Medical Secretary within
the NHS. Accuracy, strong communication skills, teamwork, and the ability to
work flexibly in the absence of colleagues are essential qualities for this
role.
Main duties of the job
Key Responsibilities:
1. Provide efficient typing and word processing services for GPs and Health Professionals, including the accurate and timely typing of letters, reports, patient referrals, and notifications.
2. Make appointments and bookings using the E-Referral Service whenever possible.
3. Establish and maintain filing and administrative systems to ensure written or computer information is easily accessible and secure.
4. Receive incoming and initiate outgoing telephone calls to facilitate timely and appropriate communications, taking messages, and addressing queries as needed.
5. Maintain the computer system in an accurate and secure manner.
6. Consult the internal communication portal on a daily basis.
7. Check and ensure all two-week wait referrals have been received by hospitals.
8. Assist with gathering statistics and information when required.
9. Provide coverage for secretarial team members during periods of sickness and annual leave.
10. Receive and dispatch mail efficiently.

To be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team.
Duties can include, but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS).
Primary key responsibilities
The following are the core responsibilities of the Medical Secretary. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
a.Typing letters, reports and associated documentation as required
b.Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently
c.Managing all enquiries in an effective manner
d.Maintaining an accurate referrals database
e.Action all incoming report requests
f.Processing calling letters as requested
g.Scanning patient related documentation and attaching scanned documents to patients healthcare records
h.Inputting data into the patients healthcare records as necessary
i.Processing referrals using the electronic referral system (ERS)
j.Processing requests for information i.e., SAR, insurance/solicitors letters (iGPR) and DVLA forms
k.Coding data on the clinical IT system
l.Answering incoming phone calls, transferring calls or dealing with the callers request appropriately
m.Managing all administrative queries as necessary
n.Carrying out system searches as requested
o.Maintaining a clean, tidy, effective working area at all times
p.Supporting all clinical staff with general administrative tasks as requested
q.Support and or advise service users on any self-referral service
r.Support the clinical leads for Safeguarding Adults & Children
