Job summary

We are looking for a professional, friendly, and organised individual to be the welcoming face of our GP practice. As the first point of contact for patients, visitors, and other healthcare professionals, you will play a vital role in making sure everyone feels cared for and supported from the moment they arrive or call.

Main duties of the job

In this role, you will manage the front desk, handle calls, greet patients, and book appointments. You will also process registrations, maintain patient records, and support the clinical team to keep the practice running smoothly.

Job description

Job responsibilities

  • Greet and assist patients both in person and via telephone
  • Book , amend and cancel appointments using SystemOne
  • Managing incoming and outgoing correspondence , including monitoring personal NHS mail and practice NHS mailboxes , emails and letters
  • Ensure strict confidentiality and compliance with data protection regulations (GDPR).
  • Complete reception-related administrative tasks and daily duties.
  • Register new patients promptly and accurately.
  • Use judgement and communication skills to signpost patients appropriately and book appointments based on clinical urgency.
  • Assisting the Duty GP as Care Coordinator with online Triage requests.
  • Divert calls and take accurate messages, ensuring they are delivered promptly.
  • Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
  • Assist with opening and closing the practice.

  • Basic IT skills, including familiarity with patient management systems (e.g SystmOne)

Desirable

  • Previous qualifications or training related to administration or customer service

  • Confident using IT systems and able to quickly learn new software (experience with SystmOne is an advantage).
  • Ability to work accurately and efficiently in a busy environment.
  • Experience handling sensitive information with confidentiality and professionalism.
