The Medical Secretary holds a pivotal role in any
practice and ours is no exception. This role forms the central point of our
patient referrals and medical reports working closely with GPs, our Practice
Manager and our patients to ensure timely and accurate letters and information
We are looking for someone who is hard working, enjoys
reading and attention to detail, having their own workload, is interested in
healthcare and records management and regular communication with our patients to
join us in our two GP surgeries
Candidates must be proactive and reactive to daily tasks.
They must be aware of time sensitive requirements throughout the day and be
able to prioritise effectively
This position is essential in providing excellent support
to our healthcare professionals and delivering a positive experience for our
patients
We can offer between 28 to 37 hours per week for the
right candidate
Main duties of the job
Previous experience in General Practice would be
advantageous
Duties will include, but not limited to: communicating
with clinicians and patients, typing of referrals, and booking hospital
appointments via standard letter format and also specific choose and book
software
The post holder is responsible for all GP medical
secretarial support using various systems and email for patient letters, correspondence,
referrals and other means of secretarial paperwork
Responsible for managing busy email inbox
To accurately type referrals, letters and reports as
instructed
To make various NHS, private and Choose and Book
appointment referrals as requested
Managing outstanding task requests regarding
patients/referral request/general GP requests in a timely manner
Communicating with patients regularly, both via telephone
and electronically
The secretarial team also deals with all correspondence
that passes through the surgery daily and actioning of all electronic and paper

About us
We are a two site GP surgery looking after 18,300
patients and work out of two purpose built modern Medical Centres in Leeds 9
Osmondthorpe and Leeds 15 Crossgates
Our opening hours are Monday to Friday 08.00-18.00
We have a team of 40 including doctors, nurses,
receptionists and admin staff working out of the two medical centres so you
will be joining a well established and experienced team
There is on site free parking at both sites and there are
staff rest areas for lunch and breaks
We also provide a staff uniform and offer free tea,
coffee, chilled water to all members of staff

Type up letters and referrals from Clinicians using
relevant referral templates
Use the e-referral system to select the appropriate
specialty and clinic, providing patients with a shortlist of available services
to enable appointment booking
Send e-referral paperwork to patients
Type and copy medical reports, raise invoices, and
maintain invoice spreadsheets where applicable
Handle requests for copies of medical records, including:
Printing electronic records
Photocopying paper records
Sending records via IGPR software and entering details on
a spreadsheet
Take surgery post to the post box as required
Check and action NHS mail (both personal and practice
accounts)
Check and action internal emails
Check tasks on SystmOne, taking necessary action by
contacting patients or hospitals
Check and action e-referral worklists
Check and action GP Link (Digital system linked to PCSE
used to manage Patient registrations and other Patient data)
Create and edit referral and other letter templates in
SystmOne Documents
Answer telephone enquiries relating to referrals,
reports, letters, etc.
Full training will be provided for the secretarial role.
However, a strong command of English language and Reading ability and Medical
terminology is required to be able to thrive in the role
