Were looking for an organised, proactive Assistant Practice Manager to help keep our busy GP Practice running smoothly. You'll support the Practice Manager with day to day operations, staff coordination, patient services, and compliance, playing a key role in delivering high quality, patient centred care. Main duties of the job

The Assistant Practice Manager supports the smooth, efficient, and highquality operation of the GP Practice by working closely with the Practice Manager, clinical team, and administrative staff. This role helps ensure the delivery of safe, patientcentred care by overseeing daytoday administrative functions, supporting workforce coordination, and contributing to operational planning and service improvement.

Job description

Job responsibilities

a. Oversee day-to-day practice operations to ensure efficient service delivery and workflow.

b. Implement and maintain operational policies, procedures, and compliance standards.

c. Providing leadership and guidance to all staff ensuring that they adhere to policy and procedure at all times.

d. Implementing systems to ensure compliance with CQC regulations and standards

e. Reviewing and regularly updating job descriptions and person specifications ensuring all staff are legally and gainfully employed.

f. Assisting with recruitment including interviewing, pre-employment checks and DBS

g. Evaluating, organising and overseeing the staff induction programme.

h. Maintaining and embedding an effective staff appraisal process

i. Implementing and embedding an effective practice and staff development plan for all staff whilst maintaining a robust training record

j. Marketing the practice appropriately to ensure patient population is stable or increasing

k. Overseeing the management of contracts for and highlighting issues with services i.e., cleaning, gardening, window cleaning etc.

l. Managing DNAs, providing data and planning tools coupled with liaison with referred repeat offenders

m. Coordinate patient service processes to maintain high standards of care and experience

n. Identify and implement process improvements to enhance efficiency and quality.

o. Assist senior management with strategic planning and operational projects.

p. Oversee health and safety, legionella monitoring, fire risk assessments, statutory compliance

q. Lead the management of the Patient Participation Group.

r. Manage patient complaints and investigate significant events to ensure a safe, compliant, and responsive practice environment.

s. Manage staff sickness absence, including monitoring patterns, maintaining records, conducting return-to-work meetings, and addressing initial attendance or performance concerns, to support employee wellbeing and operational continuity.

Qualifications

Essential

  • GCSE grade A to C in English and Maths

Desirable

  • Educated to A-level/equivalent or higher with relevant experience
  • Leadership and/or management qualification
