Job summary
We are seeking a motivated and reliable individual with excellent interpersonal and communication skills to join our team. Previous experience in an NHS clinical setting is preferred.
The successful candidate will be responsible for a wide range of reception and administrative duties, providing essential support to the multidisciplinary team. Responsibilities include (but are not limited to) welcoming and directing patients, managing the appointment system, booking appointments, processing information accurately, and assisting patients as needed.
This role acts as a central point of contact for patients, ensuring effective communication and coordination across the practice. You will handle the distribution of information, messages, and enquiries for the clinical team, and liaise with both internal colleagues and external agencies such as secondary care and community service providers.
Main duties of the job
The following are the core responsibilities of the receptionist/administrator. Occasionally, additional tasks may be required depending on workload and staffing levels
Maintain and monitor the appointment system.
Process personal, phone, and electronic appointment requests.
Answer incoming calls, transfer calls, or respond to callers requests appropriately.
Guide patients to the appropriate service.
Initiate contact and respond to requests from patients, team members, and external agencies.
Read coded data on SystmOne.
Photocopy documentation as needed.
Enter data for new and temporary registrations and update relevant patient information.
Input data into patients healthcare records as required.
Forward requests for information (e.g., SARs, insurance/solicitor letters, DVLA forms) to the administrative team.
Handle all queries efficiently and professionally. Perform system searches upon request.
Keep the work area clean, tidy, and efficient at all times.
Monitor and maintain the reception area and notice boards.
Provide general support to clinical staff as needed.
Scan patient-related documents and attach them to healthcare records.
Perform opening and closing procedures according to the duty rota.
