Job summary
We are looking for an enthusiastic and self motivated individual to join our team as a part time secretary and administrator. We are a very friendly team in a small practice in Oughtibridge, North Sheffield, that has a very low staff turnover. The vacancy is for 22 hours per week to be worked across at least 4 days per week, which must include Tuesday and Thursday. General Practice secretarial experience is essential with good sound knowldge of medical terminology and ideally have experience of using SystmOne. You must be accurate, have good communication skills, be a team player and also be able to work flexibly in the absence of colleagues.
Main duties of the job
Main duties of the job:
- Provide comprehensive administrative support to GPs and clinical staff,
- Prepare and type correspondence, referral letters and reports for clinical and non-clinical purposes
- Ensure referrals are processed eficiently using the electronic referrals system (ERS) and other referral routes as necessary
- Maintain an accurate 2 week urgent referral database
- Process requests for information eg SAR, insurance, solicitors letters and DVLA forms
- Process patient letter requests and invoice for private work accordingly
- scanning of patient related documentation and attaching scanned documents to patient medical records
- Liaise with hospitals, community services and external agencies regarding patient referrals and information requests
- To efficiently administer the movement of patient medical records to and from the surgery and liaising with PCSE where necessary.
- To summarise patient records being received into the surgery for newly registered patients
- To maintain and update medical records accurately and confidentially in line with GDPR and NHS guidelines
- Support the Reception Manager with admin tasks to enable the efficient working of reception
- Provide an excellent customer service to patients
About us
Oughtibridge Surgery is located in Oughtibridge, North Sheffield and we provide medical services to about 6000 patients. The surgery was rated as 'Good' in our last CQC inspection. We have 4 GP Partners, 1 salaried GP, 4 nurses, 2 HCA's, a reception team, Reception Manager, Practice Manager and PCN staff including Pharmacists and Physios. The surgery is also one of two surgeries in Sheffield that also has a dispensary. We are a really friendly team who always try to go the extra mile to provide an excellent patient focused service.
