Job summary

We are seeking a motivated and detail-oriented Coder/Administrator to join our friendly and supportive General Practice team. This is a part-time position, working 30-32 hours per week ideally spread over 5 days per week.

About the Role

The primary responsibility of this role is to manage the clinical coding and summarising of patient records, ensuring that data is accurate, up to date, and supports high-quality patient care and practice performance. You will work closely with clinical and administrative colleagues to maintain robust patient records and contribute to the smooth running of the practice. In addition, the post holder will support the multi-disciplinary team, providing administrative support as required, in line with the needs of the organisation.

Main duties of the job

Key Responsibilities

  • Accurate coding of clinical consultations, diagnoses, procedures, and investigations using SNOMED CT and Read Codes
  • Summarising incoming patient notes and correspondence into electronic patient records (EMIS)
  • Supporting clinical audits and data quality initiatives
  • Liaising with clinical staff to ensure coding reflects care accurately
  • Assisting with data extraction for QOF, IIF, and other clinical targets
  • General administrative support related to coding and record management

Ideal Candidate

  • Experience with clinical coding and summarising in a general practice setting (preferred)
  • Working knowledge of EMIS / Docman
  • Familiarity with medical terminology and SNOMED CT
  • Excellent attention to detail and data accuracy
  • Strong IT and communication skills
  • Ability to work independently and as part of a team
  • Confidential and professional in handling sensitive information

The following are the core responsibilities of the Clinical Coder/Administrator. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels.

  • Accurately clinically coding data on the clinical system into the patient record
  • Identifying relevant clinical information documented in patient correspondence, coding appropriately and completing any detailed action
  • Inputting and extracting data as required to support practice reports
  • Filing and storing records as required
  • Photocopying documentation as required
  • Actioning all incoming correspondence, emails and mail in a timely manner
  • Scanning patient related documentation and attaching scanned documents to patients healthcare records
  • Inputting data into patients healthcare records as necessary
  • Answering incoming telephone calls, transferring calls or dealing with the callers request appropriately
  • Carrying out system searches as requested
  • Maintaining a clean, tidy, effective working area at all times

  • Review and update the practice coding policy as required (in conjunction with the Practice Manager)
  • Partake in audit as directed by the audit lead
  • Support reception staff, providing cover during staff absences
  • Book appointments
  • Complete opening and closing procedures in accordance with the duty rota
