An exciting opportunity has arisen for a Business Administrator to join the Bovey Tracey & Chudleigh Practice. This is a permanent position of up to 34 hours per week. Salary is competitive and negotiable depending on experience. Whilst we are not Agenda for Change, salary is equivalent to Band 3.
Main duties of the job
This role is responsible for the formulation and day-to-day management of GP & AHP clinic rotas in collaboration with the Practice Manager and GP Rota Lead. Key duties include coordinating and monitoring planned and unplanned absences (annual leave, study leave, special leave), ensuring accurate recording of these absences. The role also involves maintaining up-to-date HR and training data in compliance with Practice policies.
As the Health & Safety lead for both Riverside and Tower House, the individual will oversee safety protocols and compliance. Additionally, the position involves managing the Practice's website and social media presence.
The role will also serve as the primary point of contact for Subject Access Requests (SARs) at Tower House Surgery, ensuring full compliance with GDPR and the Data Protection Act 2018. The individual will work as part of a team to ensure the delivery of efficient and effective reception, administration, and secretarial services to all service users.

Key duties and responsibilities:
- Prepare GP & AHP rotas ensuring that adequate capacity, specialist clinics, and equity of workload exist.
- Manage the day-to-day GP & AHP rotas within S1. Ensure that clinic templates are uploaded accurately onto S1 within agreed time frames.
- Ensure S1 Clinic Templates are mapped correctly to the National Slot Types in line with NHS Digital GP Appointment Data (GPAD).
- Co-ordinate and record annual leave and study requests, highlighting any potential problems to GP Rota Lead/Practice Manager.
- Co-ordinate enhanced access clinics including internal re-sale of weekend sessions.
- Liaise with Medical Student GP Lead to plan student rotas.
- Co-ordinate booking of clinical rooms to ensure maximum utilisation of space across the Practice.
- Prepare templates for GP Registrars to meet their training needs.
- Collate articles for staff newsletter and circulating monthly.
- Updates to Practice website and Facebook as required.
- Management and updates to waiting room visual displays.
- Update Training Records and Mandatory HR documentation as appropriate.
- Undergo regular training to keep up to date with current legislation and review relevant Practice Procedures when changes occur.
- Health & Safety lead for both Riverside and Tower House, including management and updates of Risk Assessment.
- Liaison with Admin Team Leaders regarding H&S maintenance of both Riverside and Tower House to include emergency lighting and fire checks.
- Act as the primary point of contact for all Subject Access Requests (SARs) at Tower House Surgery, ensuring full compliance with GDPR and Data Protection Act 2018 requirements.
- To action tasks as requested by the GP in accordance with practice procedure.
- Contribute to the effectiveness of the Practice Team by reflecting on own and team activities and making suggestions on way to improve and enhance performance.
