Job summary

We are seeking a Medical Secretary to join our practice.You will be made to feel very welcome and will be part of a friendly, supportive team who will assist your development and training.

Main duties of the job

To provide general secretarial support to the Practice Manager, Doctors and Health Professionals involving word processing and audio typing skills with general clerical work.

Job description

Job responsibilities

The post holder will have excellent communication and computer skills, accuracy and ability to work under pressure. They must be flexible in their approach to meet the demands of the practice.

Main Duties

Generate secondary care referrals for patients, from digital dictation, using the clinical system.

Booking on-line appointments on E-referrals for all hospital referrals and advice requests.

Monitor the E-referral system daily for action required and advice reply information.

Complete hospital appointment request forms relating to X-Rays, MRIs CT scans, and ultrasound scans etc.

Generating private appointments for patients and completing the necessary paperwork involved from digital dictation.

Responding to ad hoc tasks requests via Daybook generated by Doctors and other Health Care Providers.

Organising and responding to Doctors requests via the Docman system.

Book and monitor urgent suspected cancer referrals through to receipt of clinical letters to ensure compliance.

Dealing with telephone patient queries relating to referrals /administrational matters.

Preparing official reports and documents from Doctors for outside agencies i.e. DVLA, DWP, insurance companies and Social Services.

Dealing with Consultant and secondary care team queries relating to patients at this practice in relation to their ongoing medical care.

Monitoring and responding to incoming e-mail requests.

Taking minutes at all practice meetings (Partners, Clinical and Departmental staff meetings) transcribing and distributing as instructed in a timely and confidential manner.

Taking minutes relating to patient complaints, transcribing and distributing in accordance with practice procedure.

To provide additional secretarial support as required to the Practice Manager, Reception Manager and Nurse Manager.

To provide cover for members of the secretarial team during periods of sickness and annual leave.

  • Experience of working in an administrative office environment
  • Working experience of operating word processing & computer packages
