Job summary
We are looking to appoint an Administrator to join our Head Office, who will be the support for arranging GP bookings, liaising with external agencies together with Practice Managers, as well as carrying out general office management tasks. You will be personable, have great organisational skills, and experience of working with budgets. Your job purpose is to work with the GP Rota Co-ordinator, providing admin support together with cover during periods of absence in ensuring all practices have clinical cover provided whilst remaining within agreed budgets.
You will be responsible for updating and monitoring compliance of our clinical teams and escalating non-compliance to our senior team.
Your regular duties in this role will be dealing with telephone, face to face and electronic enquiries, booking and/or amending GP rotas.
This role is ideal for someone who is highly organised and an effective communicator who can provide a professional standard of structure, ensuring every contact is of the highest quality.
Budgeting skills are essential.
Main duties of the job
GENERAL ADMINISTRATION
Scheduling of clinicians, sometimes at short notice to cover vacancies in clinics to ensure practices are at full staffing capacity to deal with appointments
Any gaps that remain liaise directly with the manager in terms of ways this can be managed operationally to mitigate risk. Escalating to a member Senior Management Team should there be any quality or safety issues if gap remains
Filing and retrieving official documentation for compliance checks.
Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
Perform any other relevant and reasonable duties that may be requested by your team
Undertake statutory and mandatory training as required.
APPOINTMENT SYSTEM MANAGEMENT
Book/edit/cancel appointments and recalls ensuring sufficient information is recorded to retrieve medical record.
Monitor effectiveness of the system and report any problems or variations required.
Deal with home visit requests, carefully noting all details
Arrange transport to hospital appointments for housebound patients
COMPLIANCE MANAGEMENT
Ensure that all records are accurately compiled in advance for each session.
Ensure relevant documents have been retained before placing clinical staff in practice.
Ensure records are kept neat and tidy and in good repair with all necessary information recorded correctly on the outer cover
