Job summary

Due to the forthcoming retirement of our Practice Manager, we have an exciting opportunity for the right candidate.

To provide leadership and vision, with an overview of all aspects of the practice functionality. Working closely with an experienced management team to optimise efficiency, financial performance and ensure that the practice achieves its strategies both short term and long term and that the practice team works in an efficient and safe working environment.

To ensure compliance with CQC regulations and meets their commissioned and contractual requirements. To help manage practice development plans, identify opportunities and work closely with other stakeholders, maintaining good working relationships both internally and externally.

Primary Responsibilities

The Practice Manger has several core responsibilities, some of which you will be supporting other members of the management team. There may be times, when you are required to carry out other duties depending on staffing levels and workload.

Hours 37.5 hours per week (including 6.30pm finish on 2 days)

Main duties of the job

We are looking for an experienced Manager who possess excellent interpersonal skills and leadership. You should have a good knowledge of Primary Care Finance streams and be able to drive the Practice forward in these challenging times for the NHS. Flexibility, adaptability, and approachability is a must.

You will be responsible for leading our team collaboratively and for managing all aspects of the Practice, with responsibilities for:

**Practice Finances which will include delivering monthly reports to the Partners

Ensure we are CQC Compliant and work with the Registered Manager

*Strategic planning for the Practice

Contract delivery

*Management of Premises including Health and Safety and premises management

*HR - including the training, development and wellbeing of our team

*IT a working knowledge of various IT systems including EMIS web, Docman, Accurx

Management of maintaining excellent internal and external stakeholder relationships

Diarising and chairing fortnightly Partners meetings.

Attending various meetings representing the Practice Locality, PCN, PPG, PLT (as examples)

The smooth running of the Practice

Ensuring that deadlines are met.

About us

Poplar Grove is a 23,257 patient Practice, with an expanding list size, based in the county town of Aylesbury in Buckinghamshire. We are an established training Practice and we rated Good in our last CQC Inspection and regularly do well with our QOF achievements.

We are part of Central Maple PCN, along with two other Practice. Our PCN is mutually supportive, and we have a dynamic PCN Manager who liaises with each of the Practices and who is based at Poplar Grove.

Our team is ever evolving but comprises of 8 Partners, 8 Salaried GPs, strong and experienced management team and patient service team, nursing team, pharmacists, paramedics and ARRS roles provided by the PCN.

Our current Practice Manager will retire at the end of the year, but we would like to ensure there is a good handover period and therefore would like the successful candidate to commence October 2024.

Overseeing the day-to-day operations for the practice, supported by the management team leads and supervisors. You will be line manager for IT/Deputy Practice Manager, HR / Buildings Manager, Strategy Manager and will oversee the Patient Service Manager, Nurse Manager and Lead Pharmacist in the absence of the HR Manager

Finance

Manage all financial aspects of the practice, including setting budgets and forecasting

Maintain an effective liaison with the practice accountant / finance assistant and Finance partner

Ensure that practice accounts are overseen and that accurate and timely figures are provided

Brief all partners on financial and practice issues

Oversee and manage the procurement of practice supplies, equipment, services and remain within budget

Contractual and Compliance (Supporting the Management team)

Be the primary point of contact to external stakeholders, including ICB, CQC, NHSE, PCN

Oversee targets and ensure deadlines are met for QOF and Enhanced Services

Ensure practice maintains compliance with NHS contractual obligations including DSP Toolkit, Workforce Census, EDEC

Ensure that the practice is CQC compliant

Oversee the health and safety compliance including risk assessments and mandatory training

Oversee contracts, premises and maintenance schedules for equipment and services

Ensure that insurance policies are up to date and appropriate

Develop and maintain the Business Development Plan

Maintain a robust Business Continuity plan

Oversee the maintenance of all practice policies and procedures

HR (Supporting the HR Manager)

Maintain an up-to-date knowledge of HR law

Strategy (working in Partnership with the Strategy Manager)

Identify opportunities for the Practice

Ensure that the Practice has a fit for purpose five-year plan

Timetable and plan Partners and Complete Team Away Days

IT (Supporting the IT Manager)

A good working knowledge of spreadsheets

Knowledge of EMIS web would be an advantage

Ensure that we are maximising digital interfaces

Ensure the telephone system remains fit for purpose

Ensuring that our website and social media sites are updated and maintained

Attendance of external meetings when required

Lead change and continuous improvement initiatives, co-ordinating projects within the practice

Adopt a strategic approach to the management of all patient services matters

Market the practice appropriately
