Job summary

The Crosslands Surgery is seeking an experienced practice administrator to work in our busy 4 partner GP practice. This is an interesting, supporting new part-time role working 20-25 hours per week (tbc) 7.30am morning start time 5 days per week.

Main duties of the job

The post-holder will work closely with the Practice Manager to ensure daily and weekly checks are being completed efficiently with effective use of appointments in a timely manner.

This is a role providing support to the secretarial and reception team also with good communication skills both face to face and over the phone.

Initially, the role is on a fixed term 6 month contract as it is a new role at the practice.

Job description

Job responsibilities

The post-holder will work closely with the Practice Manager to ensure daily and weekly checks as follows are being completed efficiently with effective use of appointments in a timely manner. Contributing to ensure systems in place are utilised effectively to provide services available to patients.

Daily checks

Review of incoming tasks via Systmone from other service providers.

Re-assigning of test results to ensure these are received promptly by clinician ordering the test

Review of waiting lists for patients to be booked in with healthcare professionals and flag those fagged for disease monitoring checks

Review reception group tasks and flag those for priority bookings

Allocate home visits to be booked for housebound patients

Ensure patients booked into 111 slots are flagged for same day review

Review incoming online messages from patients and respond accordingly

Process PATCHS (online consultation) requests

Weekly:

Check rotas automatically added by Systmone are correct and in line with annual leave ensuring admin blocks assigned to rotas

  • Review reception tasks and flag patients for booking into following weeks appointments

Support to be provided to

Secretarial preparing and sending referral letters. Chasing referrals and appointment outcomes

Workflow processing incoming mail correspondence received electronically and by post

Prescription requests processing online prescription requests made by patients

Reception cover as required during periods of leave. Face to face and telephone encounters with patients.

Qualifications

Essential

  • -Educated to GCSE standard (or equivalent) with 5 passes grade A-C / 6-9 including maths and English.
  • -Good level of general computer skills.
  • -Good knowledge of Microsoft Office and Systmone
  • -Good working knowledge of office management procedures
  • Knowledge of/sensitivity to multicultural issues

Desirable

  • -An appreciation of customer care standards
  • -Use of ERS and REGO referral system

Experience

Essential

  • -Minimum 1-2 years working in a clerical role
  • -Experience in a customer facing role within the NHS

Desirable

  • -Experience working in a GP practice
