Job summary

We are seeking an organised, proactive, and reliable Practice Administrator to join our team. This role is open to both internal and external applicants.

You will play a key role in supporting the smooth running of our practice operations across all sites, ensuring excellent patient care and compliance with NHS standards.

Main duties of the job

The Practice Administrator will manage GP rotas, coordinate staff absences, support compliance and safety audits, oversee facilities and site maintenance, assist with recruitment and HR tasks, provide clinical systems support, liaise with staff and suppliers, and perform general administrative duties to ensure the smooth running of the practice.

Job description

Job responsibilities

  • GP Rota Management: Booking locums, creating and amending clinics and slot types, and loading clinics into EMIS.

  • Absence Management: Monitoring holiday and sickness, managing absence phone and email on a rota basis, and resolving attendance issues.

  • Compliance & Safety: Conducting audits (including 2-week wait audits, scorecard spot checks, and appointment availability), ensuring sites meet safety requirements.

  • Facilities Oversight: Organising and tracking supplier invoices, managing room occupancy, arranging and overseeing site checks (fire safety, legionella, PAT testing), and coordinating site maintenance and repairs.

  • Clinical Systems Support: Uploading clinics into EMIS, including nursing and enhanced access clinics.

  • Recruitment & HR Support: Assisting with recruitment, completing HR checks, supporting inductions for new clinical staff, and setting up system access.

  • Team & Supplier Liaison: Acting as a point of contact for practice staff and external suppliers, ensuring prompt responses to emails and queries.

  • Administrative Duties: Managing splits of admin shares between GPs, pharmacists, and other staff.
