Job summary

We are looking for a Reception Manager to join our friendly surgery.

Bankfield Surgery is a kind, caring Practice located in Elland, close to the M62. We have a dedicated team of staff, providing a range of services including Enhanced evening appointments.

This exciting opportunity has arisen in our Reception team, so if you are looking for a new challenge then we would love to hear from you.

Main duties of the job

The successful candidate will be responsible for the efficient management and direction of the reception team, ensuring all reception duties are performed effectively and to the required standard, meeting the objectives of the practice.

We are a practice based in Elland over two sites with a list size of just over 11,000 patients. The current Reception Manager is taking retirement after serving the practice over many years.

Job description

Job responsibilities

Primary Key Responsibilities

The following are the core responsibilities of the Reception Manager. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

The Reception Manager is responsible for:

a.Overseeing the administration and support operations of the practice, ensuring staff achieve their primary responsibilities

b.Line managing all administrative staff, supporting staff development, providing guidance and direction, ensuring staff are up to date with mandatory training

c.Completing staff appraisals as required

d.Identifying and delivering team training where required

e.Compiling reception staff rotas with the Business Support Officer

f.Reviewing and updating all administrative and reception policies and procedures as required

g.Supporting the management team in the compilation of practice reports and the practice development plan

h.Developing, implementing and embedding efficient office processes and procedures to adhere to extant legislation

i.Acting as a focal point for the practice managing requests from external organisations such as the local police, solicitors, DVLA and other agencies

j.Coordinating the provision of temporary administrative and reception staff, ensuring sufficient cover is provided for periods of leave and other staff absences

k.Coordinating the home visits rota in conjunction with the Business Support Officer

l.Updating the appointment system to reflect leave and other approved absences

m.Providing initial guidance and advice to patients who wish to verbally complain

n.Managing all deliveries to the practice, ensuring adherence to the cold chain policy as necessary

o.Acting as building fire marshal, ensuring evacuation lists are current and that the visitors log is used appropriately

Secondary Responsibilities

In addition to the primary responsibilities, the Reception Manager may be requested to:

a.Deputise for the deputy reception manager during periods of absence

b.Partake in audit as directed by the audit lead

c.Coordinate and produce meeting agendas and record the minutes of meetings

d.Support the practice manager in the maintenance of the practice website and social media accounts

e.Monitor and promote the use of the Friends and Family Test

f.Champion continuous improvement, encouraging staff to participate and make suggestions for CI initiatives

g.Assist with QOF targets

h.Schedule and take minutes for the Patient Participation Group meetings
