Job summary

  • You will sensitively obtain information from our patients regarding the medical issue(s) they are calling about
  • You will be trained on who makes up the Wingate Team - the many roles (Doctors, Practice Nurses, Health Care Assistants, Physio.s, Pharmacists, Mental Health Practitioners, Social Prescribing Link Workers, etc., and the many services on offer
  • You will use this information to care navigate/signpost patients to the most appropriate health care professional based on their patients needs and the urgency of their condition(s)

Main duties of the job

  • Answering the telephone and sign posting patients to the appropriate health care professional
  • Booking appointments
  • Taking home visit requests
  • Supporting patients with registering for online access (so they can log in and book themselves a telephone consultation with a Doctor)
  • Dealing with any queries
  • Processing prescription requests

  • Wingate is a purpose-built GP practice in Bigdale Drive, Northwood, Kirkby.
  • We have approx. 12,200 patients.
  • It is a very busy but friendly and supportive place to work.
  • The staff at the Medical Centre are here to work for our patients and look after them when they are ill but we also think it is very important to give them clear guidance and advice on how to live a long healthy life.
  • We are looking for a new Medical Receptionist/Care Navigator to compliment our Receptionists team (currently 11 staff).
  • You will be fully trained and will have access to more experienced staff at all times.

Job description

Job responsibilities

Medical Receptionist tasks:

  • To be efficient and polite to all patients whether at the surgery or on the telephone
  • To care navigate/signpost patients to the most appropriate health care professional
  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice
  • Being able to cover all reception duties as necessary
  • To have a thorough knowledge of all practice procedures and being able to apply them accordingly
  • To manage all enquiries that the post holder receives, if not pass on to those who can deal with the enquiry
  • Process appointment requests for patients (by telephone)
  • Using your own judgment and communication skills ensure that patients needing an urgent consultation are prioritised
  • Deal with home visit requests
  • Have a working knowledge of the telephone system, during and after hours
  • To receive and direct all incoming telephone calls appropriately
  • To ensure that all messages are passed on accurately and efficiently (whether it be verbal or electronic)
  • Process repeat prescription requests in accordance with the practice guidelines including distributing to Doctors for them to be authorised
  • Handing paper repeat prescriptions to patients after checking names and address
  • Recording patients INR/Methotrexate readings onto their records
  • Prepares signed scripts for the collection by local Pharmacies
  • Liaises with the local Pharmacies re: any queries/collecting prescriptions in person or on the telephone
  • Liaises with the Practices Pharmacists
  • Actions any workflow tasks sent through by the GPs/Nurses via Docman
  • Opens and date stamps all incoming courier/postman delivered mail and distributes to Departments accordingly
  • Explain practice arrangements and formal requirements to newly registered patients
  • Understanding and reporting any potential Health and Safety risks identified
  • Pregnancy testing for GPs if required (very rare)
  • Signing patients up for patient access if requested by patient/carer
  • General office duties as required
  • When last to leave at the end of the day, ensure that the building is totally secured, internal lights are all off and the alarm is activated. Follow the closing-up protocol carefully (2 staff will lock up a maximum of 1-2 times a week)
