Job summary
We are a busy Town Centre practice with just over 6 thousand patients. Medical Support are the first point of contact for all patients whether this be telephone call, email, online enquiries or face to face on our reception desk.
Our admin team work across all administrative area's of the practice sharing the job role across the team, they are both patient facing and work within the admin background of all patient care.
Medical Support complete administrative assistance to the clinicians of the practice also.
Main duties of the job
Meeting and Greeting Patients
To provide a confidential service using a variety of computer packages including Word, Excel and medical system - SystmOne.
Answer incoming phone calls, dealing with the callers requests appropriately.
Process and effectively signpost patients to the appropriate healthcare professional or service depending on the presenting condition.
To take accurate telephone messages and deal efficiently with enquiries by telephone and face to face.
To maintain the electronic appointment booking system, ensuring the efficient planning of GP and nurse appointments to maximise the management of time and workload.
To open and deal with postal correspondence in line with practice procedures.
To ensure efficient running of the office.
To create and maintain databases and systems as required.
To maintain effective and efficient filing systems both paper and electronic.
Complete general office jobs, Data entry of new registrations, generating patients prescriptions, scanning documents onto patients records and arranging secondary appointments via Choose & Book system.
Dealing with direct requests for information, e.g. SAR, insurance/solicitors letters and DVLA forms.
To provide support/cover for other staff when necessary.
To comply with Health and Safety in accordance with practice Policies and Procedures.
To do anything else as reasonably directed by your employer in line with this job role.

The practice is run by the clinical director Dr Khan, who is supported by the practice management team Abbie and Victoria.
We have a range of clinicians including GP's, Nurses, Pharmacy Technicians and Physiotherapists.
An admin team of 12 members of staff.
