Job summary
We are a friendly GP
practice looking for a new team member to support in both reception and
administrative area at Capelfield Surgery, Claygate, Surrey KT10 0EH.
We are looking for
a motivated and enthusiastic person with great people and IT skills for a total
of 18 hours per week
The candidate will
have excellent communication skills, be able to work efficiently and multitask
with a want to learn/ be involved. Full training will be provided.
Previous experience
working at a GP practice and Emis Web experience desirable but not essential.
The chosen
candidate should be flexible to work between the hours of 7.30-6.30pm and be
able to cover for annual and sick leave of other staff members (as will be done
likewise) as needed on an overtime basis.

Main duties of the job
Duties include dealing with patient enquiries (face to face and over the phone) including scheduling of appointments, prescriptions and queries as well as admin tasks such as referrals, medical coding, Quality outcome framework indicators.

Capelfield Surgery has been established within the Claygate community for over 30 years and have a steady patient size of 8,000.We have 3 GP Partners, 4 part-time salaried GPs, 2 GP trainees, 1 respiratory nurse, 1 Paediatric Nurse, 2 practice nurses, 2 health care assistants, and a very supportive management, back office and reception team.

The role includes
a variety of duties, working alongside our current team members in providing
support across several domains. This includes:
Reception
Support: To cover reception including handling online & telephone patient
enquires and making appointments.
Secretarial
duties: sending out routine, private, urgent and two week rule referral
letters to secondary care; managing day to day enquiries including patient referral
enquiries and providing comprehensive audit trail; good working knowledge of
local services; chasing up outstanding results or discharge summaries; safety
netting for urgent referrals; managing secretarial email inbox for queries
from secondary care, community clinics and pharmacies; keeping to clinical
governance, data protection and freedom of information laws; liaising with
management team regarding current workload and potential backlog
Call/Recall
duties: overseeing
chronic disease clinics ensuring patients are called in a timely fashion and
monitoring checks coordinate with clinical follow up appointments;
coordinating flu vaccination invitations and enquiries; managing minor
surgery and ear irrigation waiting lists and enquiries.
Clinical
Coding Support:
Additional support may be required in highlighting and coding key patient
information from incoming hospital and patient letters. Summarising key
patient information from letters.
Prescription
clerk Support: Ad-hoc cover may be required in supporting our prescribing team with
uploading prescription requests; dealing with medication queries from
pharmacies & patients; coordinating appointments for medication
monitoring.
Undertake any other additional duties appropriate to the post.
