Job summary
Receptionist and Administrator required for 20 hours at our GP Practice in Balsall Heath, Birmingham. We are rated Good by CQC in all domains and looking for the right addition to join our team.
Candidate must have excellent customer care skills. Previous GP experience is desirable but not essential. Other qualities sought include being friendly, reliable, punctual, possessing good telephone manner and being able to work as part of a team and independently. Basic IT skills are essential. Flexibility to work overtime when requested is required as part of this role.
Duties include front reception duties and back office administration, answering calls and making every contact count.
20 Hours Monday - Friday 2:30pm - 6:30pm. Rate of pay: Dependent on experience. Suitable training will be provided during induction.
Main duties of the job
You are expected to provide an efficient service, be the focal point of the surgery and to act as a liaison between patients, clinicians and other members of your practice team. You will be smart, pleasant and courteous to patients at all times providing the highest level of care and ensuring the practice runs smoothly. Whilst in post, Staff are expected to acquire & complete all mandatory training and update their knowledge on safeguarding as per the Intercollegiate document requirements. Training must include knowledge of the Mental Capacity Act and Deprivation of Liberties.

Telephone
- Making appointments.
- Taking home visit requests and reporting to the doctors on duty.
- Deal with general enquiries and complaints or redirecting as necessary.
Reception
- Booking, cancelling and re-arranging appointments.
- Dealing with incoming online Triage
- Contacting other providers as necessary i.e. chasing up results, referrals etc.
- Booking patients in on arrival for appointments.
- Registering new patients and temporary residents Offering, booking new patient health check as per practice policy
- Offering, booking language, sign language interpreters as required or requested.
- Greeting and directing patients and visitors.
- File letters into medical records and scanning of documents into medical records and read coding as instructed
- Respond to needs of doctors and nurses during surgery.
- Recall patients for health checks, flu vaccinations, Diabetes checks, Asthma reviews etc.
- Collect payments from patients for non-NHS services and record in log book.
- Deal with general enquiries and complaints.
- Open mail, stamp with date and distribute as per practice procedure.
- Check patient record alerts when dealing with patients i.e. during arrival for appointment or raising a repeat prescription and act appropriately.
- Be vigilant and alert at all times of the environment and raise any concerns with patients or public with the manager or duty doctor.
- Prepare and give out blood test forms and other investigation forms for routine monitoring as indicated by the clinical system for certain chronic conditions e.g. Diabetes.
- Maintain stock supplies as per stock list in reception area.
- Enter appropriate read codes as instructed by practice when entering certain data. For example, Telephone call to patients.
- Ensure that clinic attendance appointments e.g. Nurse appointments are confirmed prior to appointment date as per allocation of tasks.
- Send referrals via e-mail or e-referral in line with practice guidelines.
- Manage documents on EmisWEB and Docman.
- Record, check, Emergency equipment i.e. Fridge, Defibrillator in line with practice policy and allocation of tasks.
- You must complete all mandatory e-learning/ training and attend practice meetings.
- Ensure any outstanding queries are explained and handed over appropriately to the next shift, as necessary.
- Respond to the needs of doctors and nurses during surgery promptly.
- Observe health and safety and infection control guidelines at all times.
- Deal with Home visit requests as per practice procedure in a timely manner.
- Maintain supplies of stationary in the reception area as required.
- Register patients for online services in accordance with practice policy.

- Input and extract information from clinical computer system.
- Observe health and safety guidelines at all times.
- General housekeeping, keeping reception and waiting areas tidy at all time and clear of clutter.
- Any other duties considered to be necessary.
