An exciting and prosperous opportunity has become available in Tregaron
Surgery. We are in search of a highly organized and efficient Medical Secretary
to assist our healthcare team in delivering outstanding patient care and
administrative services. In the role of Medical Secretary, you will be tasked
with managing a variety of administrative duties within the practice, ensuring
seamless daily operations, supporting physicians, and engaging with patients. The
ideal candidate will have excellent communication skills, attention to detail,
and a strong understanding of confidentiality and office procedures.
Main duties of the job
Duties will include liaising with patient, staff and external agencies
such as hospitals and community services, ensuring all enquiries and queries are
processed efficiently.
Typing medical referrals, reports, correspondence, and other documents
as required by the practice.

Meddygfa Tregaron Surgery covers a wide rural area which encompasses Tregaron, Llandewi
Brefi, Cellan, Llangybi, Llangeitho, Penuwch, Bronant, Pontrhydfendigaid,
Pontrhydgroes, Ysbyty Ystwyth, Ffair Rhos and Cwmystwyth.
Staff at the practice work closely with
appropriate partnership agencies within the community such as district
nurses, the primary mental health team, and midwifes, to offer a bilingual
service in both Welsh and English.

As part of this role the following task will be required:
Typing medical referrals, reports, correspondence, and other
documents as required by the practice.
Liaising with external agencies such as hospitals and
community services, ensuring referrals are processed efficiently.
Answer and directing phone calls and emails, responding to
inquiries and handling patient concerns appropriately.
Manage and schedule appointments for patients, ensuring
accuracy and timeliness.
Completing SAR requests for medical records, and patient
information in compliance with GDPR and practice policies and procedures.
Prepare and submit insurance claims and billing information.
Ordering of office and practice consumable supplies as
necessary.
Record the minutes of meetings.
Carry out system searches as requested.
Carry out audits for quarterly submissions, i.e. CSW.
Maintain a clean, tidy, effective working area at all times.
Manage own training updates as set by Practice manager.
Support all clinical staff with general administrative tasks
as requested.
Any other duties set by the Practice Manager and /or Senior
GP.
