Support Secretary/Administration Assistant

Job summary

The Ridgeway Surgery are looking to recruit a Support Secretary/Administration Assistant to work approximately 15 hours per week including Fridays (hours on other days to be agreed with the successful candidate).

The successful candidate will support the Practice Secretary and Management team in the delivery of a comprehensive secretarial and administrative service.

Main duties of the job

The role will include communicating with patients,answering queries, typing correspondence such as patient referral letters and also higher level admin practice work, such as writing patient searches and reviewing data to ensure we continue to offer excellent patient service.

We have low staff turnover and offer a friendly and supportive working environment. As a training and research practice we offer placements to GPs and doctors in training and take part in research trials.

Job description

Job responsibilities

The following are the core responsibilities of the Support Secretary/Administration Assistant role. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. Typing letters, reports and associated documentation as required

b. Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently

c. Managing all enquiries in an effective manner

d. Maintaining an accurate referrals database

e. Actioning all incoming email

f. Processing calling letters as requested

g. Scanning patient related documentation and attaching scanned documents to patients healthcare records

h. Inputting data into the patients healthcare records as necessary

i. Processing referrals using the electronic referral system (ERS)

j. Processing requests for information i.e., SAR, insurance/solicitors letters and DVLA forms

k. Coding data on the clinical IT system

l. Answering incoming phone calls, transferring calls or dealing with the callers request appropriately

m. Managing all administrative queries as necessary

n. Carrying out system searches as requested

o. Maintaining a clean, tidy, effective working area at all times

p. Produce meeting agendas and record the minutes of meetings

q. Support reception staff, providing cover during staff absences

r. Complete opening and closing procedures in accordance with the duty rota

s. Reviewing data at the request of the management team

t. Setting up patient searches to retrieve and analyse data

u. Approropriate tasks as allocated by the Partners/management team

Essential

  • 5 GCSE's grade 4 minimum to include Mathematics and English

Desirable

  • NVQ Level 2 in Health and Social Care
  • Level 3 trained in Medical Terminology

Experience

Essential

  • Experience of working with the general public
  • Experience of working in a healthcare setting
  • Experience of high level administrative duties

Desirable

  • Experience of working in a GP practice
  • Experience of working in a primary care setting
