Job summary
We are looking for a highly organised, proactive and experienced Senior Clinical Administrator to join our friendly and supportive practice team. This is a pivotal role providing high-level administrative support to our clinicians and ensuring the smooth coordination of referrals, clinical correspondence, and patient-related processes.
The successful candidate will demonstrate excellent attention to detail, strong organisational skills, and the ability to manage competing priorities. You will be confident working independently, handling confidential information appropriately, and maintaining high standards of accuracy, Information Governance, and patient service delivery.
Experience of working within a healthcare setting is essential, and knowledge of EMIS and clinical coding is desirable.
This is a permanent position for 18 hours per week, worked across Monday, Thursday and Friday. Salary is dependent on experience. This role is funded via the Additional Roles Reimbursement Scheme (ARRS) and is subject to ongoing eligibility and funding arrangements.

Main duties of the job
The main duties of the role include:

Managing administrative enquiries and monitoring shared clinical mailboxes

Typing clinical letters, reports and associated documentation

Processing referrals via the Electronic Referral Service (ERS) and maintaining accurate referral tracking systems

Liaising with hospitals, community services and other external agencies to coordinate patient care

Arranging patient appointments, follow-ups and clinical tests

Scanning and attaching documents to patient records and inputting data accurately

Clinically coding information on EMIS and actioning GP2GP and EMIS tasks

Acting as EMIS super-user and supporting clinical system management, IT security and Information Governance compliance

Processing Subject Access Requests (SARs), insurance and solicitor letters, DVLA/HGV medical forms, firearms certificates, and producing invoices for private work

Creating and running system searches and reviewing/updating clinical templates

Supporting teledermatology referrals, including obtaining high-quality clinical photographs in line with practice protocols

Acting as a chaperone when required

Supporting the wider administrative and reception team as needed, including providing cover during absences
