We are looking for a Receptionist to provide cover, helping to ensure the smooth running of our busy front desk. As the first point of contact for patients, youll play a vital role in making every patient feel welcome, listened to, and supported. Youll handle calls, manage appointments, process correspondence, and assist the GP and wider team in delivering excellent service.
This role is ideal for someone who enjoys helping others, communicates clearly and kindly, and can stay calm under pressure. Youll need to be organised, confident using computers, and committed to maintaining confidentiality at all times.

Main duties of the job
Welcome and assist patients and
visitors in person and over the telephone in a professional and friendly
manner.
Manage incoming calls, respond
to general enquiries, and direct calls as appropriate.
Schedule and manage patient
appointments using the practice clinical system - EMIS Web.
Register new patients and
update existing patient information accurately.
Handle incoming and outgoing
post and emails.
Obtain external medical
reports, test results, and other documentation as required.
Scan and file correspondence
and clinical documents.
Maintain a tidy, organised, and
welcoming reception area.
Safeguard patient
confidentiality and comply with GDPR and NHS data protection requirements.
Provide reassurance and support
to patients, maintaining a calm and caring approach.
Carry out general
administrative duties as required by the GP or Practice Manager.

Ensure an effective and efficient reception service is provided to
patients and any other visitors to the Practice.
Deal with all general enquiries, explain procedures and make new
and follow-up appointments.
Using your own judgment and communication skills ensure that
patients with no prior appointment but who need urgent consultation are seen in
a logical and non-disruptive manner.
Explain Practice arrangements and formal requirements to new
patients and those seeking temporary cover and ensure procedures are completed.
Receive and make telephone calls as required. Divert calls and
take messages, ensuring accuracy of detail and prompt appropriate delivery.
Enter requests for home visits into the home visits book, ensuring
careful recording of all relevant details and where necessary refer to Duty
Doctor.
Action repeat prescription requests and ensure that they are ready
for collection by the patient within 48 hours, in line with Practice protocol.
Take action on clinicians requests for further
information/patient contact information etc. including computerised practice
notes, ensuring completion of all associated paperwork.
Advise patients of relevant charges for private (non-General
Medical Services) services, accept payment and issue receipts for same.
Enter patient information on to the computer as required.
Prepare clinical rooms for surgeries, supply prescription forms
and record numbers in use and ensure adequate supplies of consumables - including bottles, couch rolls, test request forms etc..
