Job summary
We are looking to recruit a Lead Medical Receptionist for 17 hours per week to join our friendly practice team in Rowlands Castle. You will play a key role in the smooth day to day operation of the front desk at the surgery.
Candidates must be an effective communicator, self-motivated, conscientious, and have a receptionist experience, preferably within a healthcare setting. Knowledge of EMIS Web clinical system is desirable but not essential.
Main duties of the job
Receive patients
and assist them with accessing the most appropriate healthcare professional as
well as dealing with all general enquiries and carrying out administrative
tasks, in a pleasant and efficient manner, whether in person or by telephone.
Working as part of
a team, following practice procedures, working in accordance with protocols,
with patients welfare your primary concern.
Ensure the smooth running
of the front desk including overseeing holiday and sickness cover, always
maintaining staffing levels. To be
proactive in managing administrative change, staff training and supporting
working efficiencies.

Team Lead Receptionist Responsibilities:
- Support the Reception team to develop the most efficient processes and procedures.
- Act as the communication link between the management team and staff.
- Managing staff front desk rota cover for holidays and sickness.
- Manage change in reception including:
- Updating protocols.
- Training new staff.
- Managing change of systems and procedures and ensuring staff are confident with them.
- Any other duties as may be required by the practice manager or partners.
General Reception Duties all receptionists
- Make appointments, in person or by telephone.
- Receive and direct patients as required.
- Deal with enquiries and arrange contact with the doctor/clinician when necessary.
- Deal with requests for home visits and patient transport.
- Read all messages and respond accordingly.
- Scan and attach documents to digital patient records.
- Enter results, registrations, coding onto patient records.
- Open, date stamp, sort and distribute incoming mail.
- Process repeat prescription requests in an emergency or if Prescriptions Clerk not available.
- Take a turn at making tea and coffee.
- Prepare consulting rooms.
- Replenish stationery stock for clinicians.
- Clear and tidy after surgery at end of day.
General Admin Duties all receptionists
- Replenish stock of stationary supplies.
- Management of new patient registration set up.
- Monthly audit of scanning.
- Deal with appointments and enquiries regarding Medicals, Ante Natals, Post Natals, Immunisations, Travel, Smears and Results.
- Maintain Nursing Home Register.
- Efficiently operate end of day checking and locking up procedure.
- To provide administrative support to the Practice Manager, Doctors, Nurses.
