Job summary

We are looking for a dispensing receptionist to work full time, or a job share on a part-time basis covering both our Sherburn and Rillington Practices. Your role will be crucial in projecting a positive, friendly, and professional image of our practice to service users and healthcare professionals. Main duties of the job

Primary responsibilities include:

- Opening and closing up the premises.

- Using SystmOne (medical records system) to manage patient appointments with a Health Care Professional.

- Answer incoming calls, transferring calls or dealing with the callers request appropriately.

- To be responsible for answering general enquiries, face to face, email or in person and explaining surgery procedures.

- Manage the incoming post, distributing and scanning to correct recipient.

- Take orders and requests for medication from the patient.

- Hand out prescriptions to patients or their representatives.

- Add drug stock to the system, accurately recording the details and operating efficient stock rotation.

About us

We are a busy, rural practice providing a service to a resilient rural community on the edge of the Yorkshire Wolds. We have a growing list size of 5,600 patients.

We proudly operate as a training practice and our multidisciplinary team includes 4 GP partners plus salaried GP, physician associates, a strong nursing team, first contact physiotherapists, a mental health worker, clinical pharmacists, a care co-ordinator and social prescribers.

We have an effective team of administrators who support the team with operational administration, patient services and correspondence management.

We also have a successful team of dispensary assistants and support staff who run a popular dispensary service to 90% of our practice population, this includes a delivery service to patients who would usually struggle to collect their regular medications.

Job description

Job responsibilities

To use computerised appointment system to book, cancel and amend appointments and visits.

Deal with all general enquiries and queries from patients and public and all other callers to the practice, both face to face and by telephone in a courteous, confidential and efficient manner.

Using your own judgement and communication skills ensure that patients with no prior appointment but who need urgent consultation are directed to the appropriate doctor or healthcare professional.

Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed passing all completed registration forms to admin to be entered on to the system ASAP.

Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.

Action/update assigned tasks daily or within the appropriate time scales.

Enter patient information on to the computer as required.

Book ambulance transport when required. Request 999 ambulances for emergencies.

Dealing with samples forms and enquiries regarding results of investigations.

Take orders and requests for medication from the patient by all means available to the patient.

Meeting and greeting patients politely, handing out prescriptions to patients or their representative, checking the patients name and address.

Collect NHS prescription charges due and ensure that the patient declaration on the reverse of the FP10 is duly filled in and signed by the patient.

Hand out private prescriptions, calculating cost to the patient, ensure records of private prescription and charges are kept appropriately, issue receipt to the patient to show VAT charges.

To ensure that all monies received or handled on behalf of the practice are appropriately stored and banked and a record kept of all financial transactions.

If patient is in dispute regarding NHS prescription fees, issue the patient with a receipt to reclaim fees completing all details correctly and endorsing with our practice stamp, and advising the patient how to make the refund

Ensure all prescriptions are completed correctly by patients upon collection, collate and forward the forms to the administrator for processing prior to sending off to the PPA.

To support the dispensary team operate efficient stock control appropriate to the needs of the practice with the objective of ensuring continuity of supply for patients and minimising wastage through out of date stock.

Checking goods received, enter stock onto the system,returning incorrect, damaged goods to wholesaler.

To ensure that drugs are stored in an appropriate manner in accordance with the accompanying instructions and stock shelves, fridge etc. using stock rotation method (old to the top and new to the bottom).

With the dispensary team ensure that shelves and all work surfaces are regularly cleaned to maintain a high level of hygiene within the dispensary and that all dispensary equipment is kept clean and kept in good working order.

With the dispensary team ensure the dispensary area remains tidy and in an organised manner.

To ensure that refrigerated items are stored at the appropriate temperature and to maintain a temperature control record.

Preparing Nomad packs, when required with a dispenser.

Ensuring sufficient stock of prescription pads, labels, nomad boxes, bags, drug boxes and bottles, spoons and syringes, records updated when necessary. Sherburn dispensers order supplies for Rillington.

Monthly out of date drug stock report, removing stock from the shelf and updating computer records and re-ordering when necessary.

Monthly out of date vaccine/injectable stock report, removing stock and updating computer records and re-ordering when necessary.

Monthly out of date emergency bag and doctors bags report, removing stock and updating computer records and re-ordering when necessary.

Remove uncollected prescriptions from the collection shelves if not collected after 2 months or preparation, updating computer records and returning items to stock.

Ensuring all items are ready for the delivery service marking prescription bags to highlight any addition items i.e. fridge, CD etc.

Supporting the dispensary team to ensure palliative care packs are kept stocked and ready to use when needed, the drugs for these packs are on computer stock records and is included in the out of date reports completed monthly.
