Maternity Cover - Reception Supervisor

Job summary

We are looking for a Reception Supervisor to cover a fixed term maternity role to join the team. Working closely with the Practice Manager, the Reception Supervisor will help ensure the smooth and efficient running of the practice. This is a key leadership role involving direct supervision of the reception team, evening reception cover, and contributing to overall service delivery and patient experience.

About You:We are looking for someone who has:

  • Previous experience in a supervisory role within a GP Practice (Emis experience preferred)
  • Strong leadership, communication, and organisational skills
  • Ability to work collaboratively in a busy, patient-cantered environment
  • A good understanding of NHS procedures and compliance
  • A flexible and proactive approach to problem-solving and service delivery

Main duties of the job

You will be responsible for:

  • Assist the Practice Manager with various projects, systems, and procedures.
  • Support the monitoring of compliance with health and safety legislation, ensuring staff follow appropriate procedures and regulations
  • Support the Practice Manager in the management and maintenance of practice policies, procedures, and compliance registers (including DBS checks).
  • Coordinate the practice diary, ensuring timely scheduling of meetings and appointments.
  • Supporting the Practice Manager to arrange internal and external meetings, including preparing agendas and producing meeting minutes.
  • Draft and distribute the quarterly practice newsletter.
  • Organise and facilitate Patient Participation Group (PPG) meetings, including agenda preparation and minute-taking.
  • Overseeing Google reviews and NHS Choice Feedback.
  • Provide support in recruiting new staff, including managing pre-employment checks and DBS.
  • Deputise for the Practice Manager in their absence, ensuring continued operation of the practice.
  • Provide initial guidance to patients who wish to verbally complain.
  • Act as the building fire marshal, ensuring that evacuation lists are up to date and the visitor log is maintained.
  • Cover reception duties in the evenings as required, ensuring that patient services are managed effectively during these hours.
  • Provide leadership and direction to the reception and admin teams, ensuring a high standard of patient care and service delivery.
