The Reception Manager is responsible for overseeing the
day-to-day operations of a general practice's reception, leading a team of
receptionists to ensure efficient and seamless patient care. This position
involves supervising staff, coordinating workflows, addressing patient
inquiries, and supporting the overall smooth operation of the practice.

Main duties of the job
As the Reception Manager at Farley Road Medical Practice,
you'll lead the reception team to ensure smooth daily operations. Key duties
will include managing staff rotas, optimising processes, and upholding high
standards of patient care. You'll also be integral in facilitating effective
communication between patients and healthcare providers while supporting the
team with training and development. This position is ideal for someone who
excels in a fast-paced, patient-centered environment and has a passion for
leading and motivating a team.
About us
Our team includes 2 GP partners, 5 salaried GPs, 1 Advanced
Nurse Practitioner, 2 Practice Nurses, and 2 Health Care Assistants. Through
our PCN ARRS staff, were fortunate to have a dedicated Clinical Pharmacist,
Social Prescriber, and Care Coordinators. Additionally, we have weekly access
to 1 physiotherapist and 1 Mental Health Practitioner.
The clinicians are supported by a highly skilled
administrative team, with the Reception team at its core. Therefore, having a
strong reception management structure is essential to maintaining the smooth
operation of the practice.

- Provide day-to-day leadership, support, and first-line management for the reception team, including staff training, performance evaluations, appraisals and conflict resolution.
- Handle patient inquiries and concerns, offering solutions or escalating issues when necessary. Ensure clear communication between patients, clinicians, and external organisations.
- Plan and manage the reception rota to ensure proper staffing, making adjustments for leave and sickness as needed.
- Ensure efficient use of practice IT systems, troubleshoot any issues, and train new staff on relevant software and processes.
- Ensure reception processes align with practice policies and NHS guidelines.
- Monitor and assess the quality of work within the reception team, implementing improvements where required.
- Serve as the main point of contact between patients, clinicians, and other staff members.
- Assist with problems which may lead to complaints
- Assist with various administrative duties and other tasks as needed.
- Participate in health and safety audits, ensuring compliance with relevant policies and procedures.
