We are a highly motivated and bubble group which provide a high quality, professional reception and administrative service to our patients, doctors, staff, colleagues, health service professionals and others. To act as the first point of contact for patients contacting the Practice and to portray the Practice in the highest possible professional basis. To ensure that enquiries from patients are dealt efficiently and courteously.
Main duties of the job
Offer general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
Undertake a variety of administrative duties to assist in the smooth running of the Practice including the provision of secretarial and clerical support to clinical staff and other members of the Practice team
Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies
To have a thorough knowledge of all Practice procedures.
To work in accordance of written protocols.
Pulling/filing notes for surgeries and update as necessary
Scanning clinical letters.
Dealing with prescriptions.
About us
The practice has approximately 13,600 registered patients and consists of; 5 partners & a salaried GPs; we have a practice nursing team of 4 staff members; and approximately 15 admin/clerical support staff including the reception team. In addition, we have care coordinators and an array of community staff shared across our PCN

Duties and Responsibilities:
The duties and responsibilities to be undertaken by members of the Practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the deputy Practice Manager, dependent on current and evolving Practice workload and staffing levels:
- To receive and direct patients and visitors to the Practice, promptly and courteously, ensuring that accurate information is supplied.
- To be responsible, together with the other members of the reception team for the appointments systems
- Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
- Processing and distributing incoming mail and faxes
- Processing and franking outgoing mail
- Taking messages and passing on information
- Filing and retrieving paperwork
- Registering patients
- Processing repeat prescriptions in accordance with Practice guidelines
- Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures
- Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
- Clearing and re-stock consulting rooms as required
- To ensure that the reception area and consulting rooms are always kept tidy and free from hazards and maintained in accordance with Practice Policies.
- To deal with delegated tasks efficiently, according to guidelines set, and reporting regularly any problems and targets reached as required.
- To be aware of the practice philosophy and to treat patients/ visitors with respect, and tolerance and offer constructive support to colleagues and general public.
- Providing clerical assistance to Practice and Trust staff as required, including word/data processing, filing, photocopying, scanning and faxing
- Provision of refreshments for staff and visitors as required; loading and emptying the dishwasher and keeping the kitchen area clean and tidy
- To be aware of income generating activities, to ensure that all policies are carried out to generate a high income.
- To work flexibly according to the needs of the Practice and provide cover for absent colleagues.
