Job summary

MEDICAL SECRETARY 16-Hours per week

To work either Mon/Tues/Thurs/Fri. Working hours/times each day are negotiable, however, Fridays are essential and Wednesdays not required.

Salary: Starting salary: £12.00 rising to £12.95 per hour once fully qualified (negotiable/dependent on experience)

Annual Leave: 5 weeks (Pro-rata)

Job summary

An exciting opportunity has arisen for a committed, enthusiastic, and self-motivated Medical Secretary to join our current team of two secretaries.

Working in an interesting, busy, and varied role, you will need to have excellent organisational, communication and interpersonal skills. Proven IT skills and the ability to meet deadlines is an essential requirement. You will be expected to work well in a small team with the ability to also work alone, maintaining accuracy and prioritising all tasks accordingly.

Main duties of the job

Main duties of the job

To provide a comprehensive secretarial and administrative service to the GPs and other Practitioners.

Work carried out to include audio and copy typing, preparing correspondence, word processing, document management and patient referral to NHS and private providers.

Keep referral proformas updated and communicate changes within the secretarial team

Liaise with other suppliers and providers of health and social care services.

Record and accurately relay messages.

Expected to organise own workload in accordance with other medical secretaries, taking responsibility to ensure efficiency of service within the organisation.

Able to engage with eReferral Service process and monitor eReferral Worklist in a timely manner.

Monitor Secretaries' mailbox throughout the day, disseminating as appropriate.

Assist patients with enquires regarding referrals, results, etc.

Provide cover for members of the secretarial team during periods of any sickness and annual leave.

Provide excellent customer care which may include communication with distressed and anxious patients and relatives, treating them with tact and empathy.

Be able to work on own initiative and have a problem-solving approach to your work

Ensure patient confidentiality be maintained at all times.

About us

We are a friendly Medical Practice, with a growing list size, based in Seaton, East Devon. We have 6 GP Partners, a salaried GP as well as other healthcare professionals and admin staff. We are a recognised training Practice and regularly have Registrars and medical students working with us.

There are a team of 3 secretaries who work part time hours around each other (with some overlap) to provide secretarial support to the GPs. We work in a modern, comfortable building and offer good staff benefits including NHS pension, cycle to work scheme and Blue Light card. We actively support staff wellbeing and encourage feedback through regular team meetings.

  • RSA/OCR III WP/Typing or equivalent
  • ECDL, CLAIT or equivalent
  • Knowledge of medical terminology

Experience

  • Previous experience dealing with the general public
  • Excellent planning & organisational skills
  • Ability to prioritise workload to respond to changing demand
  • Ability to liaise and communicate with staff at all levels
  • Good attention to detail and high level of accuracy
  • Excellent interpersonal & communication skills inc. demonstrating empathy & sensitivity to patients and relatives
